A shared job role working 3 days as front desk receptionist and 2 days per week as an administration assistant to the Customer Team.We are looking to appoint a helpful, enthusiastic, passionate receptionist who enjoys working with colleagues and customers in a busy environment, ideally with administration, customer service and front of house experience. You will have excellent communicationskills, attention to detail and the ability to represent Barchester professionally at all times.Duties include: When supporting reception (3 days per week) Greet and assist all visitors to our London office ensuring that a warm welcome is given and Answer all switchboard calls in a supportive and timely manner. Undertake administrative tasks to support the reception desk and London office, including checking and prioritising incoming emails, preparing post to scan, scanning post and/or quality checking outgoing correspondence.Respond to a number of situations that may occur in the busy reception.When supporting the Customer Team (2 days per week) Support the Head of Customer Experience and their team with administrative tasksTo ensure concerns and complaints raised are dealt with appropriately and in a timely manner in line with our policies. Take ownership for written correspondence that come through the London office including scanning, uploading all contact to a database Compile records and create reports where required used business wide including identifying trends and themes Support high standard of customer service communicating with tact and diplomacy at all times, taking accurate messages and passing them on to the appropriate person in a timely manner.The office is a busy environment with individuals attending for meetings, members of the public, other team members and suppliers calling. We are therefore looking for someone who can communicate well and is able to respond in a welcoming and helpful mannerto people who may be experiencing distress over a complaint that they wish to escalate to the central team.You will be responsible for carrying out and supporting all organisational reception and administrative duties, demonstrating strong organisational skills as well as a great attention to detail and excellent communication skills.Key Capabilities/Knowledge 1. The correct use of punctuation and a good grasp of grammar 2. Able to communicate confidently on the phone and face to face 3. IT literate with some experience of using Microsoft Office Word and Outlook 4. Able to follow and work within procedures and processes 5. Experienced in customer service written correspondenceExperience & Qualifications Previous reception experience is essential 5 GCSEs at C and above including Maths and EnglishCustomer service if possible
