Job Description

Conference Producer My heavily invested Client has an urgent role for a Virtual Event Producer to play an integral part in connecting Clients and stakeholders through real-time digital events.The preferred Virtual Event producer will be able to manage the set-up, deployment and outputs of both real-time and on-demand web conferences and virtual boardroom presentations.Key Experiences include:

  • Be responsible for the planning, production, and execution of the Virtual Event series
  • Providing technical support, facilitate if required.
  • Liaises with PR, Marketing, and IT to provide a seamless process of alignment.
  • Provide web tools training where necessary to allow stakeholders and organisers the onboarding support when required.
  • Plan and schedule coaching sessions prior to launch, making recommendations to client flow and format best practises.
  • To take control of the participant lists and onboarding process and attendance delivery.
  • Provide the expertise to client and internal depts and serve as the main point of contact for web service delivery.
  • Working as part of a larger team to provide excellent client service demonstrated consistently by ensuring repeat clients, referrals, and overall account growth.
  • Responsible for Data Management and content
    • Responsibilities
  • Manage logistics and delivery of real-time and on-demand global web conference solutions (including webcasts, webinars and other client pre-recorded presentations)
  • Attend and provide live technical support for these web conference events.
  • Schedule and manage the dress rehearsal/run-through for an event, making recommendations to the client on flow and format best practices.
  • Conduct training on web conference tools and Within3 platform for participants.
  • Manage participant lists, on-boarding process and attendance report delivery.
  • Serve as point of contact and subject matter expert to clients, and internal team members, complex webcast delivery.
  • Assist with the transfer of web and video assets to the Client Success team for inclusion in related overtime programs.
  • Maintain proper knowledge of software and technology used, while suggesting the web conference process and workflow improvements
  • Working as part of a larger team to provide excellent client service demonstrated consistently by ensuring repeat clients, referrals, and overall account growth.
    • Ideal Background
  • Minimum 1+ years (Conference Production highly desirable)
  • Bsc degree preferred (equivalent experience with training will be considered)
  • Proficiency in Microsoft Office Suite
  • Ability to work remotely in a private space or at Company offices (Covid restrictions pending) with limited disruptions.
  • Essential experience supporting web conferences (meetings, webcasts, webinars)
  • Flexibility - Global webcasts/webinars may be held on early mornings, nights, or weekends, flex time and efficient schedule management needed.
  • Strong planning, prioritising, time management and multi-tasking skills is required.
  • Demonstrates a clear and effective communicator with a great phone/web presence.
  • An ability to explain complex technical features, presenting to large groups and being on camera; facilitator experience a distinct advantage.
  • Excellent written/oral communication skills with a positive mindset
