REFUGEE THERAPY CENTRECentre Manager Job DescriptionJob Title: Centre Manager Responsible and reports to: Clinical DirectorLocation will be: 1A Leeds Place, Tollington Park, London, N4 3RQ.Full-Time (40 hours per week)Office hours: Tuesday - Saturday10.00- 19.00 including one hour lunch with occasional evenings and weekends.Please apply with a covering letter and CV. Applications will be considered on a rolling basis.Job PurposeThe purpose of the role is to manage the non-clinical activities of the Centrein an efficient, effective and safe manner. Areas of responsibility include management of office and other non-clinical staff (to include Human Resource best practice) office administration, operational planning, managing and training of non-clinical staff,including volunteers, maintenance of supplies and equipment, resource management, health and safety, security, financial and budgetary management (co-ordinating with external advisors as necessary), fundraising and provision of support to ongoing projects,and any other duties as directed or which may be required.Given the pivotal role that the Centre Manager plays, the post holder is the natural administrative deputy to the Clinical Director, and will be expected to represent RTC at both internal and externalforums.Principle Accountabilities/Tasks To participate in the planning, development and management of the Centre, ensuring that at all times its stakeholders, clients, partners, staff and volunteers receive the best possible service. To take responsibilityunder the Clinical Director supervision in assembling proposals for funding, presentations, and general promotion of the Centre. To keep an updated database of funding activity in consultation with the Clinical Director, oversee and be actively involved toensure that funding targets and reporting obligations are achieved To provide day-to-day Human Resource (HR), advice to employees, issuing employment documentation in a timely manner, maintaining accurate records of attendance and working within employmentlegislation To maintain and update staff handbooks, ensure health & safety regulations are adhered to, and to facilitate ongoing training and development To motivate and coach staff to develop skills to work to their full potential, by setting measurable targetsand undertake regular performance reviews To communicate with staff on behalf of the Clinical Director as and when required To be available for occasional evenings and weekends as required To have knowledge of best practices for managing processes, communicatingchanges, maintaining legislative and relevant charity governance compliance To maintain comprehensive records and ensure the financial integrity of the Centre, including data compliance obligations To effectively weigh all the options to hand and performingcritical assessments of organisational and personnel needs Ability to discern when to update and seek guidance from Clinical Director with regard to sensitive or complex issuesDuties and Responsibilities:Office Management To be responsible for the comprehensivemanagement and development of the Centres administration, policies and procedures Work within employment legislation and ensure the Centres compliance with the legislation To participate in the introduction, maintenance and development of new systems, includingthose that are computer-based, to ensure service delivery and statistical reporting To ensure enquiries are responded to effectively and courteously. To keep up-to-date with Health and Safety legislation To participate in development of business plans andbudgetary reports with the accountant and in consultation with the Clinical Director To co-ordinate and manage, in conjunction with the Clinical Director, capital projects undertaken by the organisation, including overall responsibility for building maintenanceTo arrange internal/external meetings, organise seminars, workshops and conferences as requested by Clinical Director Manage Clinical Directors diary To prepare agendas for meetings, submit proposals and draft policies, collate necessary papers, and circulateappropriately To attend relevant meetings, take minutes, draft correspondence and reports as necessary and ensure that agreed actions are followed through and delivered To prepare reports for funders and others on the progress of the Centre and its activitiesas required To agree with the Clinical Director a budget for office equipment and supplies To ensure maintenance and repair of equipment as necessary, or replacement if appropriate and to ensure the cleanliness and security of the premises To oversee the workof the Centres Accountant, including setting targets and deliverables To ensure that the Centres Management Accounts are presented to the Trustees and Management Committee prior to their meetings. To oversee incoming and outgoing invoices, ensuring appropriatepayment and to keep a clear and transparent filing systems of contractual documentations. To ensure that all Centre utility and other accounts are checked and settled within the specified time limits To oversee the correct use of office space and consultingrooms and ensure diaries are maintained To be responsible for organising, overseeing and evaluating events that take place at the Centre or are organised by the Centre To be responsible for the general welfare of the office, including overseeing office supplied,filing system and facilities maintenance To oversee and liaise with the IT Service Provider as necessary, and to oversee staffs access to information on computers and to software. To be responsible for keeping the Centres website up to dateStaff Managementand Development To oversee the selection and recruitment of office staff and volunteers and to provide an induction programme for new members of the team To line manage the Mentors Co-ordinator, including overseeing the recruitment process, supervision andadministrative duties. To ensure all aspects of employment law are adhered to within the Centre, with particular emphasis on equal opportunities and confidentiality To ensure that all staff are aware of, and comply with, the policies and procedures To line-manage,lead and advise Support Outreach Community Development Workers, administrative staff and volunteers. To motivate, lead and support staff in regular team meetings and ensure effective communication systems are in place To undertake regular performance reviewsof staff members and set realistic targets To appraise and reassess staffing roles and with approval of the Clinical Director to implement changes if necessary to ensure the sustainability of the organisation To assess training needs and develop systems andprogrammes for staff development and training, and facilitate their attendance To oversee the maintenance of all databases associated with the Centre, such as those for clients, mentors and mentees, support outreach community development workers, volun
