Job Description

The building administrator will co-ordinate supporting works through approved sub-contractors andsuppliers, manage the facilities budget and will also oversee the booking of meeting rooms, mail distribution and assist with various ad-hoc tasks.Role requirements:

Duties include:Building Management and Maintenance
  • Diary management and managing meeting rooms within the building, including arranging refreshment for meeting and trainings
  • Point of contact for neighbouring buildings and screen / field requests / queries
  • Keeping reception and training rooms areas presentable, clean and tidy
  • Assisting and supporting facilities and services, including weekly fire alarm tests
  • Key lead and point of contact for facility and maintenance services
  • Liaising and managing the outsource cleaning provider e.g. building checks, daily checks of the service and invoicing
  • Liaising and managing with the contractors who are appointed for the building maintenance e.g. check on completed work, invoicing
  • Arrangement of maintenance and engineer servicing via the approved contractors e.g. electric/plumbing/fabric repair/water dispensers/pest control and plant maintenance
Administrative Support
  • Performing ad-hoc administration duties including managing the post and stationary requirements
  • Directing and distributing mail to appropriate departments
  • Keeping an electronic log of orders and deliveries
  • Liaising with suppliers and service providers on ad hoc issues in respect of goods/services provided to the premises
  • Raise and maintain records of purchase orders
  • Receiving and dispatching deliveries i.e. couriers, franking and posting
  • Arrangement of companys vehicle support / hire cars / service / MOT of DM Vehicles (Day Operation)
Customer Service
  • Meet and greet all visitors upon arrival - maintain positive experience for all visitors
  • Ensure all colleagues pre-book visitors to the building using the Envoy system, preserving the integrity and security of the building
  • Assist and provide support with ad-hoc tasks as and when required
