The key drivers for the team are to ensure we support the development and implementation of the firms strategy and in particular help: Drive profitable revenue growth (through the Client Universe and new clients) Develop and deliver a clear brand proposition through our sector focusThe RoleThe Bids Executive role will sit within the central BD function as part of the central Bids team. This role will provide support to lawyers and members of the BD team managing bids. The goal is for the Bids Executive to work with Bids Managers and BD Managers (both Sectors and Divisions) to deliver on specific sections of tenders and proposals for panel and transactional opportunities or manage PQQs and mini-tenders either on their own or as part of a particular client support team.The role will also have responsibility for managing and updating the Bids Library and for implementing and delivering projects to improve bids team systems and processes and facilitate self-service tools for lawyers.Duties * Lead on PQQs, mini-tenders for transaction bids, overseeing the bids process from beginning to end, including:o Downloading, summarising and circulating documents to appropriate stakeholderso Initiating bid/no bid discussions (with a Bid or BD Manager) and overseeing scoping processo Managing inputs from other stakeholders including Risk, HR, and InfoSec etc.o Shaping pitch approach and key messageso Drafting pitch content and obtaining standard firm informationo Ensuring pitch content reflects client requirements and reflects our proposition in an engaging and consistent way, including liaising with design functiono Follow up, including documenting any feedback received, working with partners to establish debrief questions and initiating/attending meetings with client to receive feedback on tender process.* Working as part of the wider Bid team on strategic full panel tenders or high value transactional bids; assisting Bids Managers and/or BD Managers by assuming responsibility for specific sections and key areas of the tender process* Collate, share and disseminate best practice through the Bids library and Intranet, including lessons learned.* Ownership and maintenance of the various Bids pages on the intranet - ensuring content is kept up-to-date and is categorised correctly to ensure it is searchable.* Build knowledge about the firm and its client base (i.e. services they buy, service gaps, profile of client base, retention rates, satisfaction with our services etc.).* Compile knowledge around the firms bid statistics, research and analyse clients and targets to aid bid/no bid decisions and monitor competitor activities.* Using Bid tracker to alert the business to new bids, managing and collating responses and managing the bid close process to handover responsibility to the BD Sectors / Relationship team or to the lawyers on non-client / target universe bids.* Management and development of BD information systems including Bids Library, Bids Tracker and Proposal Automation tool. This includes:o Identifying areas of improvement and implementing necessary changes, including identifying available resource and overseeing team to drive the changes requiredo Working with relevant stakeholders to identify and deliver training needs to encourage self-sufficiency and adoption of best practice; actively promoting best practice to BD and wider firmKnowledge, skills and experience required (bespoke to role)* Highly computer literate with excellent systems skills, ideally including experience of Office software* Excellent attention to detail* Experience of bids process including tenders and PQQs* Good writing and editorial skills for bids content* Experience of implementing projects and promoting best practice* Self - starter with ability to use initiative* Strong team worker* Ability to gain trust and build relationships quickly* A real "can do" attitude and an ability to find solutions* Able to interact professionally and credibly with senior internal stakeholders* An ability to manage conflicting requests or concurrent multiple projects* Marketing or Law degree (or equivalent) is desirable but not essential* Experience of working in a professional services or similar fast-paced organisation is desirable
