Job Description

We provide inpatient care forover 5,000 people each year and we treat more than 45,000 patients in the community in Lambeth, Southwark, Lewisham,and Croydon. As well as serving the communities of south London, we provide more than 50 specialist services for children and adults across the UK and beyond.What youll be responsible for:

  • Take responsibility for ensuring Administrators process referrals promptly, in accordance with procedures, and that patients are offered first choice of appointments within the timescales specified by Department of Health guidelines.
  • Obtain the income for authorisations for assessments and treatment within National and Specialist CAMHS Outpatients. This will involve liaising NHSE, with commissioners at CCGs and other funders, such as social services, local authorities and solicitors.
  • Obtain and maintain a working knowledge of the Patient Journey System (ePJS) in order to ensure that data is recorded accurately across the outpatient service so that information can be retrieved for activity reporting and monitoring.
  • Responsible for the effective and efficient operation of the secretarial/administrative support within the outpatient service.
  • Review and develop existing administrative systems in conjunction with the administrators, senior clinical and management staff to ensure an efficient and effective service.
  • As part of the senior administration team to ensure that all aspects of the service are working well, including supporting direct reports and other senior administrative staff. This includes providing cover for administrative staff when absent, as wellas for colleagues (e.g., Funding Officer, Centre Manager and Reception) as and when required, which may include cover for clinics outside of usual working hours.
Youll learn the following whilst working at the trust:
  • An in depth understanding of the roles and responsibilities involved in working within the NHS.
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times.
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.
Youll have the following skills/experience:
  • Relevant degree or equivalent experience.
  • Formal secretarial qualifications such as Pitman, RSA II / III, or equivalent in typing/office practice
  • Experience of working in a busy office environment.
  • Experience of staff management, supervision and appraisal.
  • Experience of practical problem solving and to be able to demonstrate use of own initiative and the capability to deal with unusual or urgent circumstances
  • Excellent IT skills, including the proficient use of Microsoft Word, Outlook and Excel.
  • Detailed knowledge of secretarial and administrative processes, procedures and standards.
  • Knowledge of Health and Safety issues.
