Job Description

We are looking for an Executive Assistant to join our client the Department for Work and Pensions on a temporary basis for 6 monthsIf you have experience of working as a personal assistant and enjoy working in a fast-paced environment, then this may be the role for you

  • Client: Department for Work and Pensions (DWP)
  • Hours: Full time - 37 hours per week. Monday to Friday (Hours flexible between 8-6)
  • Pay rate: £15.33 per hour (Annually £29,494.92)
  • Hybrid working - 3 days in the office per week. There will be a requirement for you to be in the office when the DG is in the office
  • Temporary Assignment for 6 months
  • Start date: 22nd January
There may be a requirement for you to travel to different sites with this role. These would be planned, and expenses will be coveredThe Role:The successful candidate will be responsible for a varied range of duties to ensure the successful delivery of the Director Generals (DG) objectives and priorities.The successful candidate will take all appropriate actions to understand and identify priority requests, schedule meetings on their behalf, and coordinate their schedule.The candidate will also be expected to provide administrative support; for example, taking notes and actions in meetings and following them up for updates to closure, creating agendas, and composing communications on the offices behalf.You will work as part of a wider private office unit so the ability to be flexible, deliver at pace, being able to adapt to changing priorities, work as part of a team and be willing to provide support are all essential for this role.The team have demanding schedules and ever-changing priorities: the successful candidate must therefore be prepared to make decisions on their behalf from the steers they have been given.We are looking for a highly motivated individual with good organisational, communication and interpersonal skills. You will need the ability to deliver under pressure; manage multiple and competing priorities.The successful candidate would preferably have experience in working in either a business support or executive assistant area and/or have experience in successfully managing multiple tasks/responsibilities simultaneously.The successful candidate will be expected to (and not limited to):
  • Arranging and booking travel and hotel for the Private Office and DG.
  • Manage the two rooms for the DG in London and Leeds.
  • Lead on the DG expenses.
  • Lead on transparency reports for Digital Group.
  • Manage diary to cover absences.
  • Lead and manage our shared folders and records retentions. (SharePoint lead)
  • Supporting work and projects as required.
  • Lead and track on Private office actions
  • Establishing and maintaining relationships across Digital Group and the wider department.
  • Ad hoc support to the CDIO Private Office as needed
  • You will also be required to deputise for other business support officers across the community where it is required.
The successful associate must have:
  • Excellent time management skills and the ability to adapt to changing circumstances and competing demands.
  • The ability to build strong working relationships with internal and external stakeholders at all levels.
  • Good organisation and communication skills and trusted to be able to work with minimal guidance and supervision.
  • Be comfortable and experienced working in a fast-paced, highly pressured environment with tight deadlines and the ability to deliver a pace when required
  • Be discreet and able to act with the sensitivity and integrity demanded by the nature of the work.
  • Have good attention to detail.
  • Experience of working within Private Office. Although not essential, the role would offer the opportunity to develop this skillset further
