Job Description

OverviewOperations Manager within the post room.Responsible for operational efficiency, performance against KPIs and adherence to policy and regulatory requirements. Responsible for creating a positive working environment in which coaching is the centre of all performancedriven activity. Directs, motivates and leads team members ensuring that they are aligned to the company goals and behaviours while taking ownership of their teams and their own self development. Able and responsible for challenging the status quo to improveoperational effectiveness and complianceKey Accountabilities and Main ResponsibilitiesTeam management inclusive of:

  • Proactively managing performance by motivating administrators/Supervisors and monitoring adherence to their objectives.
  • Undertake probation reviews, appraisals and improvement plans
  • Communicating key information and business initiatives by holding regular huddles, team meetings etc and checking understanding.
  • Manage and support people processes e.g. absence management, holiday planning, disciplinary & grievance, occupational health
  • Manage the interview and recruitment selection process and support senior management with the succession planning for the team
  • Conducting weekly planning and week in review sessions
  • Responsible for the creation of long term resource plans
  • Embed a culture of professionalism where you and your team adhere to procedural, regulatory & industry requirements including but not limited to GDPR, CASS and MiFID II. Manage and mitigate escalated issues, risks and complaints in line with company SLAs
  • Review and update procedures and ensure that tasks are carried out in line with them. This is inclusive of procedure reviews and Business Continuity Plans
  • Lead and drive process improvements within your team
  • Accurately record management information for internal partners and external clients
Experience & Personal Attributes
  • Previous post room experience desirable
  • Minimum GCSE level (or equivalent)
  • Experience of leading a team
  • Risk and conduct management awareness
  • Quality Orientated
