Job Description

The main purpose of the Financial Planning Administrator is to provide administrative support to a team of Financial Advisers to enable them to deliver a first – class service.Office based position - Full Time, Monday to Friday 9.00am – 5.00pmKey responsibilities include:
  • Provide full administrative support to a small team of IFAs such as preparing meeting packs for Advisers and supporting them with diary management.
  • Process, and follow through to completion, the setting up of new investments and policies for clients, which include pension and SIPP contracts, Investments and Protection policies for personal and business clients.
  • Process online fund switches and manage through to completion.
  • Maintain the back-office system; adding new clients and maintaining the portfolio content, including contributions and withdrawals plus other ad hoc details as required. Ensure all documentation and all emails are saved to client records.
  • Utilise the client management system to accurately process new and existing business, including monthly valuations and diary management.
  • Provide, review and valuation documentation in relation to client reviews and deal with any changes to the portfolio and/or client circumstances.
  • Be the point of contact for company, client and third-party queries when dealing with new and existing business. Keep all notes on the back-office system up to date, enabling advisers and other team members to appraise themselves of the current situationas required.
  • Liaise with external parties regarding any queries (product providers etc.)
  • To undertake general administrative duties (e.g. scanning, filing, preparing letters etc) in order to ensure that deadlines are met, appropriate records are maintained and are accessible, and so as to comply with regulatory compliance.
  • Compliance: performing relevant anti money laundering checks, and checking compliance documentation is completed
  • Adhere to Consumer Duty.
Requirements of Financial Planning Administrator:
  • Experience providing Financial Planning administrative support is essential. – minimum 2 years
  • Must feel comfortable working with numbers.
  • You will have excellent communication and time management skills, be able to work as part of a team, as well as using your own initiative.
  • You will have good working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
  • Knowledge of XPlan would be advantageous
  • Must live with 30-minute commute from Headingley - Free parking onsite
