Job Description

Our client is world leader in innovative, green, and ultra-efficient engineering who use their unique expertise and technology to pioneer products for their customers. Due to welcoming a new COO into their Leadership Team, the business is looking to recruit an experienced Executive Assistant to provide invaluable day to day support. The business will be moving sites from Coventry to Leamington Spa in the next few months, so the position will ultimately be working from a brand new, high tech facility in Leamington Spa. The Successful candidate will provide a sophisticated level of executive support to the senior management/exec team, with a focus on professional correspondence, organising, preparing and minute taking for meetings, and travel and diary management. You will also support with wider ad hoc administration tasks across the business as and when required. In return, you will work for an exciting, dynamic, and supportive company within a challenging and rewarding role.Responsibilities:

  • Organise and schedule meetings
  • Act as a gatekeeper for the senior/exec team when required
  • Prepare meeting agendas, perform research for meetings, and take minutes during meetings
  • Book business travel arrangements, including flights, transportation, and lodgings for senior management and other staff members
  • Maintain office correspondence and electronic correspondence
  • Manage the diaries and schedules of senior management
  • Liaise with clients and business guests
  • Maintain electronic filing system, ensuring processes and software are up to date and in working order
  • Maintain a strong working relationship with other business departments
  • Ad hoc personal support relating to the personal lives and commitments of the senior team.
  • Coordination of any media appearances and events
  • Support document management and control throughout the business
  • Assist with ensuring up to date and appropriate internal and external communications, including website updates and so forth
  • Assist with Board requirements as necessary
  • Skills & Experience:
  • Previous Executive Assistant or PA experience at board/exec level
  • Commercially astute with a professional, yet approachable demeanor
  • Confident working with senior level stakeholders
  • Articulate communication Skills - both verbal and written
  • Strong Attention to Detail
  • Proactive in approach, with the ability to make sound judgement and use initiative
  • Excellent Time-Management skills
  • Workload Management and ability to prioritise effectively
  • Maintaining discretion and confidentiality at all times
  • IT skills - fully conversant with Microsoft Office
