Job Description

Administrative Assistant - Construction Project ManagementSalary: £25,000 - £28,000 per annumFull time Office based Role6-month contract - Start ASAPBased in the Kingston upon Thames area. Our client is currently seeking a motivated and organised Administrative Assistant to join their project management company. As an Administrative Assistant, you will play a crucial role in supporting the construction project management team by handling variousadministrative tasks. You will be responsible for maintaining organised records on Microsoft Excel databases, coordinating communication, and assisting in the smooth functioning of day-to-day operations.The ideal candidate would;

  • Be an excellent communicator with a great telephone manner
  • Be confident under pressure and able to manage several administrative tasks/requests at once
  • Be competent using Microsoft Excel (for data entry purposes), Word, Outlook and Adobe PDF systems.
Key Responsibilities:
  • Manage incoming calls from potential leads, existing or previous clients, trades and contractors on the main office phone.
  • Making sure calls are directed to the correct people if needed
  • Booking in skips, portaloos, building control inspections and scaffolding upon request from the office project managers or directors.
  • Making sure everything is fed back to the office project management team and all Excel spreadsheets updated with every booking.
  • Adding dates in to the Build Directors diary (outlook) when requested
  • Assisting project managers in preparing the on-site building folders.
  • Schedule and organise viewings for potential clients to view previous projects that have been completed.
  • Follow up leads that have received quotes from us and updating the lead database.
  • You will be responsible for making sure all the on-site contractors have sent over up to date insurances and other necessary information, making sure the system is updated and documents added to file.
  • Chase each contractor as necessary when dates on their insurances run out.
  • Adding new contractor information to the system when they start working on site
  • Sending contracts to contractors who are assigned to a project, Insuring they sign these contracts and system updated to reflect this.
  • Co-ordinating remedial requests from previous clients. Booking in the build director or building team to address the issue.
  • Sending out customer satisfaction surveys/google review requests
  • Helping manage our referral fee system
  • Order office supplies and equipment as needed
  • File away invoices, paperwork and project folders
  • Managing petty cash
