Job Description

More about the role: Could you bring your spark to Defence Heres what you need to know before applying:Your key responsibilities will include:

  • Supporting the Clients internal booking system for their Portfolio of offices
  • Managing emails and phone line, answering all queries quickly, efficiently and courteously
  • Providing training for colleagues and customers of the use of the Clients internal booking system
  • Troubleshooting and problem solving around the Clients internal booking system
  • Regularly reviewing and suggesting improvements for the Clients internal booking system process
  • Liaising with all other front of house teams, including Customer Liaisons, Security, Switchboard and Catering
  • Facilitating the Here to Help pod, providing support and answering questions on all support services for site when required
  • To act as a point of contact for any information regarding travel to and from the clients Portfolio of offices
  • Encouraging the use of alternative modes of transport to employees besides the private car to help implement the clients Green Commuter Group
  • Supporting implementation of the car parking policy / applications across the clients Portfolio of offices, ensuring all respective databases are regularly updated
  • Providing a warm and informative welcome to employees and visitors and introducing them to the office and facilities
  • Where possible, preparing visitor passes for expected guests in advance
  • Directing guest to waiting area, contacting host, and offering refreshments.
  • Provide health and safety and fire alarm messaging
  • Never allow anyone into the building without an access pass or a host who can escort them
  • Supporting all aspects of visitor management including arranging transportation
Who you are: Our ideal Contract Support Assistant will:
  • Previous experience in managing meeting rooms via an online booking system
  • Good communication skills in order to be able to liaise with a wide range of stakeholders, management team members, colleagues and customers within your work environment
  • Able to comply with legislation and follow all rules and regulation laid down in the staff handbook and unit policy statements, with regard to uniform, personal hygiene, health and safety
  • Ability to work under pressure whilst maintaining a positive attitude
  • Good personal time management skills
  • Good IT skills, with knowledge of Microsoft Office Suite
