Job Description

Role overview Salcombe Distilling Company is looking for a professional, self-motivated, enthusiastic and proactive individual to join our growing team.This is a new position in a growing company, and you will be quickly become a highly important member of the team by providing vital support to the business Directors and an interface with the rest of the company. You will develop a good understanding ofhow the business works, supporting the Directors in meeting their ambitious agendas, managing a busy and fast-moving diary, and will take the lead on a range of activities and initiatives. This is a varied role consisting of administrative support, complexdiary management, report writing and much more.About Salcombe Distilling Co.Salcombe Distilling Co was formed in 2014 by our founders & directors, Angus & Howard, with the sole purpose of creating one of the worlds finest gins in the stunning and iconic coastal town of Salcombe, Devon. Having built a purpose-built distillery onthe water in Salcombe, which opened to the public in November 2016 and launched Salcombe Gin to critical acclaim in summer 2016, Salcombe Gin has gained an enviable reputation amongst gin connoisseurs the world over. The Company launched its second core brand,New London Light, a bold and contemporary non-alcoholic spirit in 2020 and anticipates significant growth in this fast evolving global sector in the coming years.Key responsibilities:Supporting our two founders, this role will include:

  • Monitoring the Directors inboxes and diaries, including responding as necessary and appropriate on their behalf; flagging urgent or important issues and commissioning information requests, prioritising actions and delegating as appropriate
  • Organising travel plans: booking all aspects of travel, preparation of travel itineraries/documents/visas, and suggesting efficient ways of travelling / planning meetings while abroad
  • Managing expense report coordination and submission
  • Proposing, organising, and assisting with team activities (staff meeting agendas, off-sites, and team social events)
  • Managing complex calendar scheduling to support teams in multiple time zones
  • Tracking and helping drive completion of key deliverables and follow-ups on outstanding items
  • Providing a bridge for smooth communication between the Directors and staff
  • Preparation of Board Meeting reports, taking Board meeting minutes and any follow up required
  • Writing, editing, and preparing documents and broad communications on behalf of the Directors
  • Support and/or manager ad hoc projects as required by the Directors
  • Proactively manage all administrative tasks, such as filing, minute taking, tracking annual leave, filling in compliance logs, etc.
  • Some office management tasks may also be required to support
Key skills:To be right for this position, we are looking for applicants with the following skills and experience.
  • Previous experience providing PA/EA assistance at senior management level
  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly
  • Excellent attention to detail
  • Professional level of written and verbal communication skills
  • Proven ability to handle confidential information with discretion and demonstrate the highest level of customer/client service and response
  • A proactive approach to problem-solving with strong decision-making capability
  • Highly resourceful team-player who is equally effective working independently
  • Ability to multitask across a variety of projects and manage complex deadlines
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Advanced knowledge of packages such as Microsoft Office particularly Excel & PowerPoint is essential
  • Previous experience in a similar role in a food or drink business will be an advantage
Hours of work: Ideally part time: Minimum 30 hours / week over a 5 day week. Ideal working hours are 08:30 - 15:00. We will also consider applications for full time hours.
