Job Description

Trading since 1989, e.surv Chartered Surveyors is the UKs number one residential surveyor and the largest provider of property risk expertise and residential surveying services. To put it into numbers, we complete more than one property inspection every12 seconds and employ over 600 surveyors from Lands End to John OGroats and Northern Ireland. This gives us the flexibility to offer nationwide coverage combined with invaluable local knowledge.We now have an opportunity to join the Health and Safety team as Trainee Facilities and Office Coordinator. This role does not require any previous experience in Health and Safety or Facilities management, though having an interest would certainly be helpful.Role and responsibilitiesReporting into our Head of Safety and Environment, the main responsibilities of the Facilities and Office coordinator role are: Facilities:

  • To be the main point of contact for all premises and property management matters, including colleagues, landlords, surveyors, managing agents, local authorities and suppliers. To manage and ensure delivery of specific supplier services, ensure compliancewith legislative obligations and to provide goods and services to maintain the operational effectiveness of remote sites and head office
  • To provide proactive facilities management across all sites, including maintenance, ventilation, temperature, lighting, sanitary, washing and rest facilities. To monitor waste management, collate and dispose of supplies no longer required, complete asbestosmanagement plans and biannual checks of the premises, review and update fire risk assessments and ensure a planned schedule is in place for oversight of regular maintenance and building repairs
  • Perform routine inspections and maintenance, dealing with occurring deficiencies or need for repairs
  • Organise prevention and precaution against, or adequate control of, exposure to hazardous substances and danger from flammable, explosive electrical, noise, radiation and manual handling risks
  • Manage and implement additional supplier services or changes to existing services, as required
  • Manage office opening, relocations or exits at lease expiry and to ensure minimum financial exposure to e.surv
Office:
  • To develop, manage and maintain the head office secure door access system, including monitoring access and reporting breaches, managing starters and leavers, time zones, access rights and temporary pass allocation for colleagues, visitors and contractors
  • To provide assistance with scheduling meetings and appointments, including the availability of meeting rooms, arranging office supplies, greeting visitors, managing all aspects of incoming and outgoing mail and providing general admin support to colleagues
  • To carry out site inspections and audits of head office and key operational sites, providing advice and support to managers and colleagues where corrective actions are required. Ensuring that buildings and grounds meet health and safety, and environmentalrequirements
  • To ensure physical security arrangements are maintained in line with ISO27001 standards. Including managing on site security and providing support for the locking or unlocking of premises including out of hours emergencies
