A Tier 1 supplier to their clients, carrying out condition appraisals of their assets and completing minor civils works including structures maintenance and repair services to keepcritical infrastructure safe.Due to their rapid growth, they are looking to appoint a competent Executive AssistantRoleThe Executive Assistant provides secretarial services for the Board of Directors and Senior Managers,working under the supervision of the Managing Director. You will be managingemail inboxes, preparing and sendinginternal and external correspondencefor the directors. As an Executive Assistant you will be part of the management team and may be called upon to assist senior managers from time to time, including occasional secretarial support. The post-holder assists with sensitive and confidential matters.Responsibilities Provide support to Executive Directors to maximise effective use of their time Diarise meetings for Executive Board and act as point of contact during periods ofabsence/unavailability Draft communications on behalf of the Executive Board Draft correspondence and also finalise and dispatch/distribute correspondence prepared bythe Directors and others Ensure that the Executive Directors decisions and instructions are relayed to otherstakeholders using judgement Coordinate accommodation and travel arrangements for the Executive Board Commission or prepare briefs, including on confidential matters Communicate and liaise with both internal and external parties at all levels, including managers across the business, stakeholders, third party providers and clients Provide support to Directors to manage inboxes and diaries, coordinate meetings, set agendas and provide accurate meeting minutes Meeting Management Collate and distribute papers and reports from Senior Managers to the Executive Board Prepare minutes for regular internal reviews and meetings including monthly SMT Reviews,weekly HSQE meetings, etc. Coordinate Action Lists holding people accountable for agreed actions Provide support, where necessary, on operational projects where client meetings are to berecorded Prepare and produce documents such as invitations, travel programmes; facilitate arrivals and departures of guests Undertake occasional stand-alone or ongoing project work including research, and makePresentationsIf you are interested in the role of Executive Assistant APPLY TODAY or call Clare Reed Nottingham for more information.
