Job Description

Administration Assistant - Bedford (hybrid working)We have an exciting opportunity for an Administration Assistant to provide support to the Executive PA and HR function through a variety of tasks related to the society, alongside facilities and health & safety support, to ensure the efficient operationof the Bedford office.Main duties will include the following:

  • Administration assistance to the Executive PA supporting the CEO and Board, as directed
  • Travel arrangements for Board members and colleagues such as booking venues and hotels, and making restaurant reservations
  • Providing HR administrative cover, such as monitoring the HR mailbox, resolving simple enquiries and delegating those which require a more technical response
  • Facilities support for the Bedford office including stocktaking and ordering of consumables and dealing with maintenance issues
  • Reconciling CEO monthly business credit card statement
  • Processing monthly expense claims
  • Health and Safety administration for the Bedford office including fire warden and first aider responsibilities
  • Providing administrative support to the CEO in Executive PA absence
  • All duties completed accurately and delivered to a high standard in a timely manner.
Skills, knowledge and experience:
  • Excellent written and verbal communication skills
  • Strong organisation and planning skills, with attention to detail
  • Intermediate level Microsoft Office skills, including Excel and PowerPoint
  • Previous exposure to HR administration, office management or health and safety procedures would be advantageous
  • First Aider and/or Fire Warden experience would be advantageous
