Job Description

Immediate StartJob Title: Office Coordinator Location: ChiswickSalary: £25-£30k pa We are proud to be recruiting for a friendly, bubbly and professional Office Coordinator to join our clients busy and fun team in Chiswick. As the perfect candidate, you will have a solid background in Office Administration/Management and be eager to take on whatever is thrown your way. This is a very varied role and we are looking for someone who is willing to learn new skills and is great at multi tasking and prioritise their workload. Your duties and responsibilities will include:* Greeting guests and assisting with meeting requirements* Catering for meetings and events * Preparation of monthly spreadsheets to send to HR Director for review* Collection and distribution of post/packages * Preparing annual parking schedule template* Coordinate, manage and book visitor parking slots with staff, security and reception* Ensure new employees complete their induction (inc fire evacuation) and relevant HR forms* Ensure the pantry/stationery is well stocked* Coordination of team events/outings* Assist Director with Health & Safety evacuation and allocation of evacuation points for all staff* Health & Safety induction to all new staff members at the Chiswick office* Update the Staff Leavers/Starter booklet and distribute to relevant persons* Ensure printers are well stocked with paper every morning and meeting rooms are tidy* Coordinate maintenance requirements in and around the office* Coordinate shredding of confidential documents* Ensure PPE is ordered as and when required and issue PPE to staff as required* Arrange fobs for office* Update excel spreadsheet (booking steps, attendance, RIBA certification)* Coordinate attendance* Arrange and coordinate team travel including flights, accommodation and cabs* Print/email reservations * Meet with Operations Director to discuss the office seating plan* Coordinate desk moves with IT and staff members* Assist IT with relevant desk moves* Update the seating plan CAD drawing and distribute to key personnel* Correspond with speakers * Ensure attendees obtain their certificates* Other duties as requiredIf you have the right skills and experience for this role then please apply today.
