Our client a leading global provider of integrated facilities and corporate real estate management is recruiting for a Contract Support to join their team located in Horsham. The successful candidate will be responsible for providing an exceptional customer service, comprehensive financial and administrative support.The role of CS will allow the right person to take the ownership/accountability for day to day tasks. As a crucial member of the team, the candidate must be flexible in adapting to any changes that come along as the contract/site grow. The CS will directly report to Site Manager.Role responsibilities· Provides administrative support to the hard and soft services team and client· Managing and co-ordinating inhouse CAFM helpdesk system by recording jobs when needed and support the engineering team with work allocation· Responds to general inquiries concerning area activities in accordance with established policies and procedures· Assists in budget preparation, reporting, control of records, statistics, and personnel changes· Manages departmental technical systems such as; platform web-page, reference manuals, and shared support network drive· Knowledge of preparing reports and power point presentation is a key requirement for the role· Co-ordination of sub-contractor files, ensuring they are statutorily compliant with QHSE requirements, maintain eLogbook and log books compliance· Organise trainings for the team and keep the training Matrix up to date· Liaise with the client regarding payment of invoices, resolving any queries and issues that may occur· Assists in planning, coordination and execution of departmental events and employee recognition programs· Maintain calendar schedule and distribution lists for assigned personnel· Assists in screening and orient new employees· Management of upload and download of CMMS DataKey Attributes· Must possess excellent oral, written, and interpersonal skills· Must be a self-starter who is motivated with a can do’’ attitude· Able to prioritise and self-manage workloads· Able to maintain confidentiality of any data at all levels, prior to being reviewed by management personnel· Requires general knowledge of financial terms and principles· Under general supervision, follows established procedures and applies general principles, theories, and concepts· A high level of initiative and proactivenessPersonal Qualities:. Minimum of 5 years’ experience in Facilities / Building Services administration. Advanced experience with Microsoft Office programs. Advanced communication skills with a full understanding of customer needs & expectations.
