Job Description

Our clients are a firm od successful Financial Advisers who have been established for almost 20 years. Due to this success require an experienced PA office Manager to support the Managing Director and office staff.Duties:Providing full secretarial support to MDDictation of letters and other correspondenceProduction and distribution of letters, reports and presentationsOrganising MD’s diary and ensuring MD is well prepared for meetingsTaking minutes at various management meetings & typing up minutesFielding calls for MD & taking messagesOrganising food/refreshments for business lunchesProvide cover when necessary for Reception duties- mainly incoming/outgoing calls including postCarrying out research for particular projects as requested by MDOrganising corporate & staff eventsManaging First AidPurchasing various items for MD as and when requiredAd hoc paperwork & dutiesAssist MD with Recruitment from vacancy to fill, through to arrival dayHelp to ensure Job Spec is up to dateAssist in wording/presentation of any advertisingAct as receiver of applications and filter as agreed/forward to MDLiaise with applicants (and recruitment companies) to offer 1st and 2nd interview dates as appropriateCreate and despatch offer and rejection lettersDefine and request information needed from successful applicants prior to arrival, to share with MD for his filesSeek references on MD’s behalfEnsure that all staff (inc new starter and leavers) know their holiday entitlement for the year, have a copy of the Holiday Leave Policy and the Holiday Leave request formAct as the contact for all staff to request leave, referring requests onto the MD for signoff and keeping an electronic record and diary as they are agreedThis is a part time role 3-4 days per week with flexible workingPlease apply on-line or contact Cameron James for a full job description and company information.
