Job Description

Experienced Facilities Management Team Leader - Maternity Cover ContractWe are recruiting for an experienced Helpdesk Co-ordinator for an initial period of 9 months to cover maternity leave.They will be joining a successful Facilities Management Company who specialise in the service and maintenance of HVAC systems and other areas of hard FM.The company operates nationwide, completing reactive and planned works across a number of retail and commercial sites.Responsibilities:

  • Line management responsibilities for Helpdesk team; performance reviews, absence management, work monitoring etc.
  • Weekly and monthly reporting to Senior Management
  • Managing the workload of the service desk team ensuring tasks are prioritised accordingly
  • Allocating work to engineers in response to reactive and planned maintenance using bespoke service software, ensuring this is done in a timely manner and service level agreements are met.
  • Producing estimates and quotations for customers and clients. Ensuring time on site for reactive, quoted and planned maintenance works are within contract budgets/spend limits.
  • Job by job communication and tracking of engineering workforce to ensure operation systems are accurate and up to date within real time.
  • Ensuring job statuses are up to date and providing on demand reports.
  • Ensuring client issued spreadsheets are up to date and issued in set timescales.
  • Be the key point of contact for clients and engineers.
  • Ensure clients are kept informed in advance of planned preventative maintenance and reactive visits.
  • Collating, reviewing, filing, and issuing all Engineer and Subcontractor paperwork
The Ideal Candidate:
  • Experience with planning and scheduling call outs/planned maintenance
  • Experience working with and directing engineers.
  • Experience quoting jobs/projects
  • Previous experience on a fast-paced service/helpdesk
  • Technical knowledge of the industry
  • Technical expertise within HVAC industry (desirable)
  • Previous experience managing a team.
  • Excellent communicator
  • Ability to prioritise own and others workload.
  • Must be IT Literate, use of Microsoft and bespoke systems is required.
  • High level of accuracy and attention to detail
