Job Description

We are looking for an experienced Senior Programmes Finance Officer, available to start ASAP. This permanent position is based in our small, friendly London office and is well suited to an individual that is looking to work in a very hands-onrole in a welcoming and supportive workplace.We offer a salary of £35,000Our benefits package includes:

The role involves occasional overseas travel to Peace Direct partner countries (up to 4 times per year), sometimes to remote locations, as required (post-Covid). You will have the chance to build on the strong relations we have developed with our currentand potential partners and funders, identifying new opportunities and driving us forward, navigating a rapidly changing environment.To join us, you will need
  • Part or full accountancy qualification
  • At least 2 years experience in charity finance
  • A good understanding of UK charity SORP and fund accounting
  • Experience in working with a range of donors (FCDO (DfID), SIDA, PPL, GHR, USAID and the EU) and understanding of their financial compliance
  • Experience of working in a complex, multi-entity, multi-currency financial environment
  • An understanding of the financial risk environment within the international development sector
  • Experience in creating multicurrency budgets and in reporting in donor currency (USD or EUR)
In addition to fluent English, written and spoken French would be beneficial to your application.Key Responsibilities: Grant finance management:
  • To lead on financial management of Peace Direct Grants
  • To coordinate partners financial reporting process (in multi-currencies), including producing financial reporting templates for partners
  • To keep financial programme records up to date both in spreadsheets and QuickBooks Online
  • To update grant reports vs. budgets in grant currency (currently GBP, USD or EUR)
  • To update financial forecasts for grants, and to work with the relevant project staff to incorporate potential budget over or under-spends
  • Financial donor compliance - to ensure that Peace Direct and partners are complying with relevant donor regulations (such as procurement rules, timesheets etc.)
  • To coordinate all project audits, working closely with Senior Programmes Officers and/or other staff and partners
  • To monitor matched funding requirements and needs where relevant, coordinating closely with staff to ensure accurate understanding of fundraising needs and correct reporting
  • Risk management - to work with relevant project staff and partners to ensure that financial risks have been taken into consideration and that mitigation plans are put in place and monitored throughout duration of the project
  • To lead on financial donor reporting and closing project restricted balances in all financial records.
Organisational finance processes:
  • To update organisational budgets and forecasts with grants to partners, Peace Directs direct project expenditure, direct staff and overheads contribution
  • To lead on aligning programmes finance processes with organisational finance
  • To lead the tracking of staff and overheads recovery from project grants, working closely with the Finance Officer and coordinating with all relevant staff to ensure information is kept up to date
  • To supply required programmes finance information for management accounts
  • To review relevant financial documents, including but not limited to payment requests, grant agreements, and staff expense reports
  • To assist with other organisational financial processes as required
Quality assurance of budgets and financial reports:
  • To support production of budgets for funding proposals, working closely with the relevant Peace Direct staff and partners
  • Where necessary, to update project budgets and to work with the Programmes Design and Development Manager and Senior Programmes Development Officer to have these approved by donors
  • To produce accurate financial reports to donors (including institutional and multilateral donors such as FCDO (DfID), SIDA, PPL, GHR, USAID and the EU) in donors currency
  • To review financial reports from Peace Directs partners, and to work closely with the relevant International Programmes Officer to provide feedback to partners to help improve financial reporting
  • To work closely with the relevant International Programmes Officer to ensure that all funds sent to partners are reported on in accordance with grant agreements
Capacity Development
  • To accompany the Senior Programmes Officers in providing technical and capacity development support to Peace Direct partners in programmes and organisational finance matters, including working directly with partners both remotely and face-to-face duringvisits
  • To support the rest of the Programmes and Research team with any financial related issues, enhancing skills and confidence in programmes finance amongst non-finance staff
Systems development:
  • To work with the Finance team and other staff to improve financial systems and processes in order to ensure effectiveness, efficiency, and accountability in our financial practices
  • To support other systems improvements as required
