Job Description

Our client, a highly respected Public Sector establishment, based in Glasgow City centre, requires a PA/Administrator on a temporary basis for an initial 3 month period. The salary for the position is £12.52 per hour, working Monday to Thursday 8.30amto 5.00pm and Friday 8.30am to 4.30pm. This role will be remote working initially until such time as staff return to the office.A minimum Basic Disclosure Scotland certificate issued within the last 12 months is a requirement of the role.Main Duties:

  • Proactively manage diaries to ensure that the Directors time is managed in a planned and thoughtful way. This includes organising logistical arrangements, travel and preparing papers as well as ensuring regular contact with the CEO, senior management team,directorate colleagues, stakeholders and Ministers; ensuring that contact is prioritised so that time is appropriately allocated to priorities at any point and the longer-term focus is maintained
  • Ensure the smooth and efficient flow of emails from the Directors inbox. Specific mailbox management includes: handling directly; co-ordinating responses from unit heads and team leaders as required; and, ensuring urgent queries are dealt with and deadlinesmet
  • Provide administrative support with local learning and development activities
  • Ensure support for officials answering directorate correspondence, ministerial and Chief Executive replies, PQs and FOI requests
  • Local support in relation to calls for corporate information, business plan updates, risk register information
  • Contribute to the effective running of the Directorate Business Support Team. including advising on, and implementing, improvements to Directorate business processes (e.g. inbox handling, management team and common processes such as travel, stationary etc)
  • Maintain ERDM files for the Director
  • Set agenda, attend and take note of Directorate Management Team meetings
  • Refresh and update the Directorates induction pack every six months
  • Deal with ad hoc projects / work to be taken forward at both Directorate level and agency level
Key Skills and Attributes:
  • Experience of planning, organising and prioritising workloads to meet tight deadlines and the ability to work flexibly across the whole team if required
  • An ability to produce clear and concise written material
  • Excellent interpersonal skills, including working with a wide range of people and building positive relationships
  • Able to improve performance and systems by adapting skills and resources to fast changing circumstances
