Job Description

Social Care AdministratorThe post holder would be someone who has a passion for providing excellent customer service, is able to coordinate and prioritise work effectively whilst providing excellent support to our team. The candidate should be able to work autonomously, using initiativewhilst being a team player within the Social Care team and be comfortable working in a busy environment. The successful candidate will be competent in using Word, Excel, Outlook and be competent in using electronic patient information systems for which trainingwill be provided.Location: West KensingtonJob Type: TemporaryDuration of booking: Expected to last 12 months with possible extensionProposed start date: ASAPPay Rates: £14 per hour Umbrella or £12 per hour PAYE inclusive of holidayHours / Working Days: 37.5 hours per week / Monday to Friday, 9am - 5pmSector: HealthcareBased: Office / HospitalPerson Specification

  • Job Overview to act as the main admin resource for the team, processing referrals, letters and other communications effectively to aid with the smooth running efficient administrative support for team members.
  • Suitable for someone who is able to understand information quickly and identify relevant course of action and who has good interpersonal skills and is confident in operating a wide range of office equipment such as scanners, computers, faxes and copiers.Suitable for someone who is comfortable working in a fast paced and time pressured environment.
Key Responsibility:
  • To support the Social Care and Re-enablement team with all administrative tasks
  • Receive and process referrals to the relevant clinician and system(s)
  • Process discharge, RA, CPA paperwork and update system(s) accordingly
  • Type all letters dictated or provided by the team
  • Book appointments on the manager record system
  • Take minutes at team meetings and transcribe accurately
  • Answer emails and relay any messages in a timely manner
  • General administrative tasks such as typing, copying, scanning, printing, laminating etc
  • Provide support to team members in setting up rooms for meetings
  • To collect and record data, electronically or manually as required.
  • To enter all patient information onto electronic patient information system (RIO). Virtual Wards
  • To type letters, memos, reports and team notices.
  • To attend the teams clinical meetings and to take notes as appropriate.
  • To ensure case notes are in good order prior to transfer to step-down service.
  • To ensure that appropriate referral is completed for Step Down patient.
  • To assist the Acute Social Care Lead with setting up and maintaining administrative systems as appropriate.
  • To set up and maintain new files for the team as required.
  • To ensure the team have appropriate levels of stationery and provisions.
  • To inform Invoices are generated to ensure step Down providers are paid in a timely manner
  • To maintain Team files, telephone lists, notice boards and leaflet.
  • To photocopy/scan documents as required/forwarding confidential information using an NHS.Net account.
  • To deal with telephone and other general enquires for the team.
  • To work with the (Acute Social Work Lead to ensure the Policy and Procedures Manuals are maintained in good order.
  • Any other duties relevant to the nature and grading of the post.
