Job Description

(Property) Marketing & Sales AdministratorBased in FulhamAnnual Salary: £30,000 - £35,000; possibly higher based on experience Company BenefitsStart Date: June 2021 • Our client is recognised as one of South West London’s foremost high-end property developers and building contractors delivering prestigious projects of the highest quality.• The role will involve assisting with the marketing and sales process of new-build properties - including forward planning and liaising with agents, lawyers etc during the sales process.Duties Include:

  • Producing a weekly progress report
  • Weekly calls with the lawyers - in connection with sales of properties
  • Weekly calls with the estate agents - in connection with sales of properties
  • Site visits - as required
  • Marketing and Sales - General:
  • Ensuring that the Help to Buy registration has taken place.
  • Keeping an up-to-date file of all relevant information including:
  • Planning permissions
  • Help to Buy information
  • Appointment of selling agents
  • Other agreements including S106 Agreements
  • Research on competitor sites and projects as requested
  • Help to Buy (and successor schemes):
  • Ensuring that all properties that are eligible qualify for the Help to Buy scheme and in particular
  • Ensuring the property is registered with Homes England
  • Ensuring that the property complies with all the requirements
  • Ensuring that all relevant information is supplied to the administrators including all necessary forecasts
  • Ensuring lawyers are up to date with progress and liaison/sharing documentation.
  • Ensuring advertising compliance requirements are met, making arrangements for signage as necessary.
  • Checking estate agents are complying with advertising requirements.
  • Pre-Sales & Marketing:
  • Pre-sales. Once construction work has started
  • Looking ahead to the starting of the selling process and forward planning the decisions and actions which will need to be taken
  • Arrange service charge/ground rent information.
  • Preparation of information required by the selling agents.
  • Council Tax liaisons - liaising with tax office and valuation office to arrange council tax banding, sending relevant documents as requested. Chasing for progress.
  • Obtain utility accounts set-up from by the company ready for transfer once properties are sold.
  • Setting up and maintaining new buyer information portal (Spaciable)
  • Marketing:
  • Marketing Materials:
  • Planning and discussions with external marketing creatives including social media
  • Arrange for site plans and floor plans to be produced in a usable format for the agents
  • Hoarding planning, design liaisons and installation logistics
  • Liaisons re: For Sale Boards and other agent signage
  • Brochure content and obtaining relevant data
  • Social media approach and timings
  • Arranging photos and other marketing materials for property brochures, website, social media etc.
  • Show Home Preparation:
  • Dressing and supplies in conjunction with our partnered design company supplier
  • Obtain costs and comparisons of various providers
  • Arrangement of logistics and dates.
  • On-site pre-meetings, installation assistance and post-install inspections
  • Arrangement of window dressings, meeting
  • Social Media
  • Ensuring social media campaign is designed
  • Implementation of Social Media campaign
  • Website
  • Ensure the company website is kept up to date
  • Sales Process:
  • Maintaining an overall timetable and timeline dealing for each property
  • On each sale:
  • ensuring that a memorandum of sale is issued
  • checking that all timetables are followed
  • ensuring that all buyers, lawyers, and agents issues are dealt with
  • Maintaining property list and sales prices, tracking any changes.
  • Maintaining parking plans, if applicable, and liaising with lawyers for allocations.
  • Adding new buyer to new buyer information portal (Spaciable)
  • Completion:
  • Ensuring that on each completion of a sale
  • The property is ready for completion
  • The property has been cleaned
  • Completion monies have been received and agents and lawyers have been paid
  • Keys/fobs and ensuring labelled and distributed accordingly
  • A welcome pack is prepared and handed to the buyers
  • Utilities are read and transferred over
  • Queries from buyers are dealt with
  • Post Sales:
  • Liaising with buyers with their post-sales enquiries
  • Coordinating pre and post-sales snagging works and after-sales care.
  • Chase for 8-week final snagging reminders and works to be carried out.
  • Update utilities
  • Home User Guide (HUG):
  • Ensuring they are produced in a buyer-friendly format.
  • Liaise with companys document controller re warranties/guarantees and documentation.
  • Liaise with the company producing the home user guides - production of HUG and manuals.
  • Liaise with all parties within the company - chasing internally for documents/data needed for the HUG and manuals
  • Chasing for documents/data needed from architects and other professionals.
  • Keeping track of progress and providing status information in a usable and helpful format.
  • Reviewing of drafts and run through guide on-site to check for consistency and correct data.
  • Track amendments and add revision stickers to all manuals for important changes, post-print as required.
