Job Description

We are looking for an Office and Reception Administrator for our prestigious client based in Farnborough, Hampshire.As the Office and Reception Administrator you will:

  • Greeting and welcoming all visitors and advising appropriate staff members of arrivals
  • Answering and direct incoming calls
  • Advising security of any expected visitors
  • Ensuring reception area remains clean and tidy at all times
  • Organising courier deliveries, collections and post
  • Manage the Meeting Room diary and schedule meetings accordingly
  • Prepare meeting rooms and provide refreshments
  • Manage the Mailbox
  • Distribute notices and memos
  • Order and take stock of office stationery, supplies and facilities management
  • Arrange catering supplies for meetings and company events
  • Managing supplier relationships and negotiating costs and services
  • Check and confirm invoices for department cost overview
  • Processing pass applications for staff
  • Organise and set up new starter induction and training
  • Supporting Heads of Departments with minutes and internal meetings
  • Order Uniforms and PPE
  • Weekly, monthly and quarterly reporting for various departments, as required
  • Co-ordination and support for Company events
  • Note taking for Management and Operational meetings
  • Supporting Office Supervisor with coordination of student work experience
The Ideal Office and Reception Administrator will have:
  • Reception and administration experience
  • Be confident liaising with all levels of staff and demonstrate strong customer service skills
  • Be confident and diplomatic
  • Be confident using Microsoft office including Office 365, Word and Excel
  • be flexible and a good team player with a can do attitude
  • strong interpersonal skills and take pride in your personal presentation
