Job Description

Building Facilities ManagerJob Type: TemporaryDuration: Expected to last till 4th Feb 2022Location: Epsom, SurreyTravel: YesTravel Locations: Three Sites across London and SurreyPay Rates: £18.40 UmbrellaStart: ASAPWorking days and hours: Monday to Friday, 37.5 hoursMain Duties and Responsibilities

  • To lead, motivate, supervise and develop a team of people and define departmental objectives
  • To ensure effective people management across all areas of recruitment, holiday and sickness, development, appraisal and disciplinary requirements, in liaison with the People Support Centre/ Employee Relations where needed.
  • To hold regular effective team meetings so all are aware of relevant information.
  • To operate within departmental budget across all 3 sites of responsibility, tracking spend effectively - liaising with Line Manager to format budgets to maximise cost effective services
  • To ensure all audits/reviews of the department and its performance are undertaken and action is taken and tracked effectively to address any issues raised - participating actively in all external audit
  • To ensure implementation of and compliance with all relevant standards and legislation, including Health and Safety within the department for all sites of responsibility
  • To review, develop, update and implement local policies and procedures for the department in accordance with statutory and organisational guidelines as well as best practice
  • To effectively communicate with all stakeholders for the purposes of inductions, emergency procedures, business continuity using formal and informal tools. Managing and control business relationships with external suppliers and / or other agencies
  • Lead invocation of emergency measures including the Business Continuity Plan when the need arises, including during periodic testing. Track actions and record lessons learned. Update the BCP when required and cascade to named parties.
  • To ensure self-delivered maintenance model and contracted services are delivering the service in line with agreed requirements and that all call outs and respond times are within SLA limits across all sites of responsibility
  • To proactively liaise on PPM schedules and update team calendars, checking that all planned preventative maintenance is carried out on time. Liaise with Maintenance team, contractors and third parties on any SLA breaches or schedule concerns where necessary
  • To ensure that all site Logbooks and supplier paperwork is maintained to the standards required (physical and electronic records) including H&S, Contractor, Water and PPM.
  • Schedule and participate in Property Audits with the Compliance Manager/ Technical Service Manager as appropriate. Track remedial actions through to completion.
  • To undertake service stream meetings with the Concierge, Facilities Assistants, Mailroom, Maintenance and Catering staff to identify best practice and resolve any issues.
  • To manage local facilities contract operations including security, internal/ external planting and grounds maintenance. Undertaking periodic meetings with our supply partners to review performance.
  • To provide data and information to other areas of the Property team as requested.
  • To oversee and ensure that projects are planned, co-ordinated, monitored and delivered in line with business requirements for small to medium sized self delivered projects across self-delivered services, contracted services, supply, internal communication for teams and wider staff network and where applicable external stakeholder communication.
  • To attend regular meetings and review with the teams and contractors at every stage of the project and track all FM stream project budget elements as required for medium to large projects with a nominated PM. Track actions in Facilities Gannt/ tracker throughout - proactively raise actions/ concerns as necessary.
  • To provide liaison on space planning including working with CAD planner for floorplan updates.
