Venue: O2 Academy EdinburghCompany: Academy Music GroupReports to: General ManagerWorking Hours: Full time, fixed term contract, maternity coverRole DescriptionAs our wedding and event sales coordinator you will be tasked with increasing the number of weddings, private parties and special events hosted at the O2 Academy Edinburgh and you will continue to enhance our reputation and our standing in both the localcommunity and wider afield.What its like to work in the TeamThe O2 Academy Edinburgh is an exciting venue in Scotlands capital and the corporate sales team are dynamic event creators & coordinators. You will work both in teams and independently and will be the first point of contact for many customers.   • Prior experience in wedding sales and coordination and a passion for the industry
  • Strong ability to multi-task Detail oriented
  • Highly organised with the ability to remain calm and think clearly throughout periods of stress

  • Ability to manage a wide range of tasks and willingness to easily transition between responsibilities as required

  • Must be available to work Friday, Saturday and Sunday with flexible availability during the week

What the role includes
  • Responding to all wedding, private function and special event enquiries by telephone in the first instance and email proposal to follow
  • Preparing and manage bespoke proposals, cost calculators, contracts, billing, invoicing, and payment procurement in an organised and timely manner
  • Encouraging all enquiries to convert to a show-round initially then, followed by way of contract and deposits being paid, convert to confirmation
  • Produce reports, including all updated bookings; new enquiries, newly confirmed and regretted business on a weekly basis and present to the Sales Manager General Manager as required
  • Maintain a live bookings tracker, to include status of all events currently being worked on
  • Regularly review upcoming events sheets and have thorough understanding of all requirements on upcoming scheduled weddings, private functions and special events
  • Document all final details and related information relevant to the event in client files and function sheets, including but not limited to, final guest count, day-of timeline, menu selections, linens, room layout, vendor information, and special requests
  • You will ensure client satisfaction through prompt, professional and hospitable delivery of services. At all stages you will develop and convert additional opportunities to cross-sell and up-sell
  • Being present at the events to provide prompt responses to guest needs and requests as they arise and ensuring policies are adhered to and that all events run smoothly and efficiently.
  • Oversee the setup and break down of the outdoor and indoor areas and liaise with event manager at all times during the build up to the event
  • Continually make every effort to develop and maintain knowledge of wedding industry trends including conducting 6 monthly (minimum) competitor analysis research reviews to ensure we are fully aware of what alternative venues are offering and what we needto do to stay ahead of the competition
