Job Description

Are you an experienced and professional receptionist looking for a temporary position with long-term potential At Office Angels we have an exciting opportunity for a Temporary Receptionist to join our Edinburgh based Client. This role offers an hourly rateof £11.50 and has working hours of 8:00 am to 5:00 pm, Monday through Friday. This role is starting as soon as possible and is ongoing, a minimum of 6 months commitment required by the successful candidate.Responsibilities:

  • Handle incoming calls in a polite and professional manner, taking accurate messages and forwarding them to the relevant individuals.
  • Act as the first point of contact for visitors, warmly welcoming them and assisting with their requirements.
  • Manage the meeting room booking system, ensuring rooms are prepared with refreshments and necessary IT equipment.
  • Coordinate staff travel arrangements and accommodation by liaising with our corporate travel agent.
  • Communicate with external consultants, agencies, and senior management as needed.
  • Utilise strong word processing skills to draft, amend, amalgamate, and proofread various documents.
  • Perform scanning, photocopying, printing, and document management tasks.
  • Prepare and collate documents for mass mail-outs to key stakeholders.
  • Maintain and update databases and spreadsheets, following up on required actions.
  • Occasionally provide holiday cover for the Information Management Advisor.
  • Undertake any other duties as required to support the smooth running of the office.
Skills/Competencies:
  • Excellent organisational and prioritisation skills.
  • Strong attention to detail and a high level of accuracy.
  • Proactive and highly motivated, able to work independently and take initiative.
  • Exceptional oral and written communication skills.
  • Willingness to work in a fast-paced and dynamic team environment.
  • Flexible and able to manage multiple tasks and adapt to changing priorities.
  • Trustworthy and reliable, maintaining confidentiality when handling sensitive information.
Requirements:
  • Proven substantial office experience, including reception and administrative tasks.
  • Proficiency in using IT packages such as MS Word, MS Excel, and MS PowerPoint.
  • Experience with Lotus Notes and Adobe Acrobat is desirable.
  • Ability to work with speed and accuracy in word processing tasks.
  • Excellent interpersonal skills and a professional demeanour.
