Job Description

Purpose of the RoleOur family of Resident Management at New Eidyn are at the heart of everything we do as we believe it’s the little things that make the biggest impact! With a keen eye for detail and a great attitude towards work and guests service experience, you will be ensuring thatall aspects of cleaning, safety, and various residential tasks are delivered to the highest standards.You will work on a shift basis and be allocated daily/weekly/ monthly tasks based on the needs of the operations. You’ll be responsible for the day to day of the Concierge operations at the New Eidyn estate. You will also be expected to conduct additionaltasks to support the team when required. This will be a resident facing role, so bring along your bright infectious smile, amazing personality and be yourself.Key ResponsibilitiesMain Duties

  • Maintain the Brand Presentation guidelines to further enhance the Guest Experience and further develop the World Class Guest service culture throughout. To know the residents by name and great them at any opportunity. To be polite and personable to allvisitors, contactors, and residents.
  • To carry out any queries from or for the residents and ensure a swift follow up.
  • To receive and organise Residents posts and deliveries following the appropriate process.
  • To follow the process & policies set for the business.
  • To assist other team members, building occupiers and visitors in the event of an emergency.
  • To maintain accurate reports of any incidents.
  • To ensure all onsite logbooks are completed where relevant when contractors visit
  • To check contractors, work once completed and report back to the Residential Services Manager.
  • To report any maintenance, breakdowns, and overall presentation issues immediately to the Residential Services Manager and continue to provide updates to both the Residential Services Manager and the residents.
  • To ensure all visitors and suppliers sign in and out of the building.
  • To be proficient with the onsite handbook and associated documents relating to the site and refer to as often as required.
  • To diarise any work which needs regular attention and follow up accordingly.
  • To receive deliveries on behalf of leaseholders and issue parcel collection notices according to standards.
  • To manage access systems according to requirements.
  • To monitor CCTV and be proficient on playing back and burning sections to discs.
  • To assist other team members, building occupiers and visitors in the event of an emergency.
  • Ensure that New Eidyn development is managed in a proactive and Resident focused manner which exceeds guests and residents expectations and is ahead of benchmarked estates in terms of the services and value that it offers.
  • Implement, maintain, and manage processes and procedures that have been organized by the Residential Services Manager and ensure that they are accurate at all times.
  • Ensure that the operations are running by the industry best practices, following proper processes and procedures whilst aiming to reach the key performance Indicators target.
  • Maintain positive communication channels with the neighbours and wider estate’s retailers.
  • Ensure that high standards of personal & property presentation and high standards of service delivery are achieved and maintained at all times whilst ensuring that all best practices are implemented, and safe working is practiced at all times.
  • To keep any register/log up to date with accurate information.
  • To review CCTV, create reports.
  • To continuously monitor and notify Residential Services Manager of known breaches of the Deed of Conditions.
  • To log any defects, incidents, accidents, and occurrences accurately in the appropriate channels.
  • To actively be part of creating a positive working environment which is a crucial part to deliver a consistently excellent service.
  • Oversee and be responsible for the tasks set/given by the Residential Services Manager.
Other duties
  • To ensure bins are available for regular collections and use the bin tow equipment to manoeuvre bins on collection days to the designated collection point.
  • Where applicable, to ensure detailed handover notes are written and made available to the next Concierge staff member coming on shift as to ensure a seamless transition.
  • To carry out any other duties as Savills / Residence Services Manager may from time to time consider necessary.
  • Assist The Residential Services Manager with on-boarding, training & developing members of the New Eidyn team.
  • Be an active part ensuring excellent guest/resident focused service delivery with/by the team.
  • To assist the team with tasks when required due to operational/business needs be it Security, Presentation or Admin.
  • To maintain a key log for residents including authorization sheets and only release keys to those whose are named on the authorization sheet.
  • To comply with the communication guidelines from a phone, email, and resident portal perspective.
  • Make sure that all contractors have a work permit and conduct regular checks to ensure they are conducting their work within the parameters set in the permits.
  • To have a proactive approach to all things relating to Concierge work.
  • Support the Residential Services Manager by contributing to occupiers communications channels as required and ensure residential portal is up to date at all times.
  • To carry out full inspections of the building throughout the shift.
  • To notify the Residential Services Manager where works are carried out within individual properties which may require a license or approval.
  • To have a full understanding of the Health & Safety and Environmental policies and procedures at New Eidyn and ensure that these policies are adhered to throughout all levels of the organization and that every incident and accident is fully recorded, reported(including to insurers) and investigated and any remedial measures diligently attended to. Ensure all agreed Savills H&S policies and procedures are implemented and adhered to at all times; in conjunction with any client specific requirements as may be required;reported to Residential Services Manager when they are not.<
