Job Description

Pertemps are recruiting for an Administrative Assistant to work with a Public Sector organisation based in Edinburgh on a temporary basis.Job Title: Administrative AssistantHours: 37 hours per weekPay Rate: £11.48Start Date: January 2023Contract Length: 12 weeks initiallyLocation: Edinburgh (EH11)Main Duties:

  • To provide an efficient and professional archive-delivery service to both customers and staff, ensuring that good handling practices are always observed. Also, maintaining document security by following the procedures detailed in the security manual.
  • To take part in planned moves of archives. These will be mainly on the premises, but on occasion you will assist colleagues in their work on third-party premises.
  • To help readers and staff with any general queries concerning ordering and delivery of records.
  • To process record transmissions between buildings, including logging of record movements on the Electronic Ordering and Record Location Systems and using correct and appropriate packaging of records for their safe transit.
  • To take an active role in the good housekeeping of our archive storerooms, by keeping all areas tidy
  • To carry out both reactive and planned re-packaging, re-boxing, and re-labelling of archives to maintain good preservation practice, and refer any damaged archive material to Conservation, for specialist assessment.
  • To comply with all processes, including carrying out and documenting equipment checks.
Essential Skills:
  • Good experience of working efficiently and flexibly both as an individual and as a team
  • Able to prioritise own workload and work to deadlines
  • A good working knowledge of Microsoft packages (e.g Word, Excel, Access, PowerPoint)
  • Good attention to detail and accuracy
