Job Description

Job Title:Trainee Investment AdministratorCompany Overview:My client is a leading investment management firm that offers a range of financial products and services to our clients. We are committed to delivering excellent performance, personalised advice, and exceptional customerservice.Job Summary:As a Trainee Investment Administrator , you will work closely with financial advisors and experienced paraplanners to provide support in the financial planning and investment management process. This role is an excellent opportunityto gain hands-on experience in the financial services industry and progress towards becoming a either paraplanner or IFA.You will help to improve the processes of client onboarding and the management of client information. You will assist clients over the phone, face to face or through other communication mediums. You will help to manage general office procedures to ensureprocesses and duties in the office flow efficiently.Key Duties/Responsibilities:

  • Client Acquisition
    • Help to collect and organise financial data from clients, including information on income, expenses, assets, and liabilities from Financial Advisers after meetings and process client forms, input data into CRM database.
    • Maintain accurate client records in CRM database and contribute to the development through sharing experience and processes.
    • Submit and follow up applications with providers.
    • Ensure content on client forms remains up to date.
    • Attend client meetings.
  • Existing Clients
    • Help to prepare performance data for client review meetings including meeting check sheets.
    • Follow up on agreed action points from review meetings including updating of portfolio risk profiles.
    • Set up new accounts for existing clients, if required
    • Assist with client requests and questions, including support of Investor Portal (MoneyLocker)
  • Reporting
    • Help in preparation of suitability reports.
    • Prepare meeting follow up emails, action points.
  • Regulatory Compliance
    • Review all recommendations and documentation with the Compliance Officer to ensure they are compliant with FCA (Financial Conduct Authority) regulations and internal company policies.
  • Client Communication
    • Communicate with clients to request necessary documents, schedule meetings, and answer basic queries as directed by the financial advisor.
  • Administrative Support:
    • Provide administrative support, including managing appointments, maintaining client records, and assisting with general office tasks.
  • Professional Development:
    • Continuously update knowledge of financial products, regulations, and industry best practices. Work toward obtaining relevant qualifications.
Skills & Knowledge:
  • Experience and Knowledge
    • Understanding of financial planning and investment products - through previous administrative role
    • Liaising with clients and management
    • Proficient in using software and systems with intermediate Microsoft office and Outlook skills
  • Skills:
    • Strong analytical skills
    • Organised with keen eye for accuracy and attention to detail.
    • Time management and prioritisation skills
    • Ability to work under pressure overcoming obstacles and managing high and/or fluctuating workloads to meet deadlines
    • Excellent written, numerical, verbal and interpersonal communication skills
