Job Description

Role: Business Support Operations AdministratorContract: Initially temporaryhowever will most likely be made permanent at the endSalary: £21KHours: 09:00-17:00pm Mon-Fri Location: Dinnington S25Our client is one of the leading UK companies within the water, air, fire and training compliance industries. They provide water hygiene and treatment services across the UK in order to help their customers maintain compliance. They also specialise in arange of air quality and air hygiene services such as maintenance of air extraction and ventilation systems and provide a broad range of training in Health, Safety and Compliance.Role Overview:The Business Support Operations Administrator is part of the Business Support team and will take direction from and is accountable to the Administration Manager, liaising, coordinating and communicating with Finance, Sales, and Operations teams.Duties may include:

  • To answer and direct calls and record opportunities professionally and as accurately as possible
  • To add contracts due to the service matrix 2 months in advance, noting the contracts as DUE AP if the planner is not available
  • To review the new contracts check report in CRM and check that the planner has been created, if the planner hasnt been created by the Account Manager then email once, call once, and if no response within 5 days then escalate to the Regional Manager
  • To mark off the tasks confirmed on service sheets received on a daily basis accurately and in a timely manner, the service sheet is not to be opened unless there is an exceptional circumstance
  • To address any queries regarding any service sheets received that have not been able to be marked off in a timely manner
  • To review any DUE APs outstanding from the previous months to ensure that the contract has been renewed, and then update to DUE
  • To process renewal quotes due to expire in the next 120 days, duplicating last years quote and ensuring all line items are at a current pricing
  • To attach the contract planner to the quote in CRM for the Sales Managers to review and send to the customer
  • All service sheets to be filed in the customer file by 4:30pm, to ensure that they are easily accessible
  • To review jobs pending on the Co-Op portal to ensure compliance and service sheets uploaded, also filing of the service sheets, and adding to SharePoint
  • To review the PPM tasks for Sainsburys, notifying the relevant account managers. Uploading the service sheets to update the jobs to service complete and completing the invoice process
Role Requirements:
  • 6 months to 1 year of experience in an administration role
  • Excellent organization
  • Strong communication and interpersonal skills
  • Attention to detail
  • Ability to work to tight deadlines
