Job Description

Are you looking for an exciting opportunity to work within a business and contribute to supporting the Senior Management team during an optimal time of change and growth. I am looking for an experienced PA who is a curious individual, likes to get involved,are willing to put themselves out to navigate through the business and find out whats going on, using their initiative to get things done.I need a self-managed, stake holder aware professional who enjoys taking control and making things happen and has demonstrable experience of supporting at CEO level.Typical day to day duties:

  • Responsible for diary management and day to day administration including post, stationery ordering and routine correspondence ensuring prioritisation and all requests kept up to date
  • Plan, co-ordinate and attend team meetings to take minutes
  • Coordinate, prepare, put together Board & Committee papers including presentations, Agendas, collating information
  • Control, manage and assist in the completion of Stakeholders actions ensuring key deadlines are met
  • Manage information flow in a timely an accurate manner; manage and co-ordinate the timely collation and distribution of documentation including monthly reports, MI, dashboards, presentations and business plans. Assist with the drafting and preparation ofpapers to Boards, Trustees and Leadership groups as required
  • Prepare agendas, take minutes, chase deadlines and manage input required for regular reporting requirements, Senior Management meetings
  • Review operating practices and propose improvements including plans on how to implement
  • Responsible for various departmental reports
  • Deputising/assisting Executives secretaries for periods of absences/holidays
  • Collaborate with, and maintain a strong working relationship with, other relevant departments and groups
Essential skills:
  • Coordinate and draft Board and Committee papers
  • Proof read documents
  • Correct formatting and typos
  • Have the ability to prioritise
  • Create presentations
  • Exceptional attention to detail
  • Manage multiple diaries
Having worked in a regulated industry/Financial Services would be advantageous. LocationWest Sussex.
