Job Description

Receptionist Clevedon (12 Month Contract)Our client, a major manufacturer of bearings for the automotive and aerospace sales unit, is looking for a receptionist on initially a 12-month contract be the first point of contact for our visitors and to provide excellent customer service. The receptionistis required to communicate effectively both face to face and over the telephone. Building good relationships and rapport with management, staff and visitors to make them feel looked after and at ease.What would you do

  • Being proficient with the site switchboard and tanoy site telephone system, this will include managing breakdowns maintenance, and allocation of extensions as required.
  • Meeting and greeting visitors and Contractors, contact the relevant person receiving them, making sure all visitors sign in using the register positioned in the reception area.
  • Answering queries and calls and taking and delivering messages by use of a switchboard and tanoy and email system.
  • Arranging pool and hire car booking for staff and visitors, as required.
  • Arranging conference bookings as and when required.
  • Maintaining the boardroom and meeting rooms and are ready for use, to include equipment as required
  • Organising buffets for visitors from a local distributor.
  • Receiving post and distributing to all departments, franking post out.
  • Administration support for the site as and when required in a confidential manner.
  • Scanning of invoices and statements to be sent via email to either accounts payable or accounts receivable.
  • Owning the process for arranging optical appointments - distribution of vouchers required direct to Specsavers.
  • Owning the process for workwear, to distribute to new employees when starting.
  • Oversee Vending replenish, maintenance.
  • Assist with archiving, preparation for archiving to be moved off site.
  • Ordering of stationary with local supplier, creating purchase orders.
  • Assist with fire alarm testing as and when required.
  • The receptionist is also the first point of contact for visitors and their induction and contractors and takes their roll-call in the event of an emergency evacuation.
What are we looking for
  • Good customer service and communication skills both written and verbal.
  • Good knowledge of Microsoft-office programs.
  • As the face of the facility you will need to be presentable at all times.
