Job Description

Senior Legal Practice Assistant in Private ClientCity of London£40,000 - £45,000 + Excellent BenefitsAn exceptional Legal Secretary/Practice Assistant is required due to department expansion and to join the Private Client division within this renowned and forward-thinking law firm that is both collaborative and supportive. The Senior PA/Practice Assistantwill take an active interest in understanding all aspects of client requirements and providing an exceptional service to both Fee Earners and Clients and can confidently navigate their way within this area of law. Supporting at Partner & Counsel level, theideal PA will need to be highly organised, accurate and able to take on a myriad of duties covering Wills, probate, trusts and tax, and have a flair for probate work alongside being happy with an element of dictation when required. This is a busy but friendlyteam where you will work within tight timeframes whilst managing conflicting workloads and diaries. Hybrid working is currently in place with 2 days in the office and 3 days working from home. Our client is ideally looking to hire and offer this role before Christmas, and with a January 2023 start.As a Legal Secretary/Practice Assistant your responsibilities will include:

  • Full PA support to the Partners & Counsel and acting as the gatekeeper, filtering calls and emails
  • Extensive internal and external communications for Fee Earners for their matters including settingup online and hybrid meetings and events, including liaising directly with clients
  • Full inbox management - actioning and responding to emails appropriately on behalf of the Fee Earners
  • Researching new clients/contacts and collating papers required for client meetings, and conducting basic research for the fee earners
  • Opening and closing new client matters and carrying out due diligence checks
  • Full diary management, setting up appointments and travel arrangements
  • Preparing travel itineraries, organising flights, accommodation, Visas, transportation
  • Monthly billing and invoice preparation
  • Document production as required, proof-reading, dictation and amendments
  • Working on Marketing and BD initiatives for the Fee Earners and BD Team, including PowerPoint presentations when required
  • Producing Excel spreadsheets to monitor/track and PowerPoint presentations when required
  • Booking conferences, video conferences and seminars
  • Preparing ebundles bundles and briefs to Counsel
Personal Competencies:You will need to be able to demonstrate good interpersonal and communication skills, delivering a high-quality and efficient service. You will also have:
  • Previous or current secretarial experience of working in the practice area of Private Client or Family
  • Strong billing experience and ideally experience of using Aderant
  • Ability to work under pressure, manage conflicting workloads, prioritise well and work to deadlines
  • Able to work as part of a team in a collaborative manner
  • Solid MS Office knowledge and minimum typing speeds of 60-65wpm
  • Transferable systems skills, or ideally knowledge of InterAction, Intapp or BigHand
  • Minimum of 5 GCSEs Grade C or above or equivalent
