About usWe are an award winning London-based digital creative agency focused on delivering beautiful brands and building impeccable digital products for the companies you know and love.We believe our award winning work stands above others because we truly love what we do, we pride ourselves on striking emotional chords with our clients, with a smile in mind approach and a love for truly great design.We work with some of the leading brands in the world, and this is the chance to be part of a company thats growing rapidly in size and reputation.The role will be based at our beautiful Studio situated a stones throw away from the bustling streets of Soho and Mayfair.About the roleWere looking for an Executive Assistant to join our growing team.The role will include the following responsibilities...Executive Assistant to the CEO and COO- Diary Management- Managing expenses- General support- Travel planning- Organising and prioritising potential client pitches and meetings- Building relationships with key client EAs- Taking minutes in key meetings with actions and next steps- Assisting the COO with operations- General office management - key point of contact for third party contractors as well as ensuring the place is looking its very best and is a welcoming and well functioning space to be for the team and our guests.- Team social events planning- Calendar of key industry awards and submission dates/ criteria- Key client and staff holiday calendar- Day to day management of Poppins wellbeing program- New starter set up: kit facilitation/ tools intro/onboarding- Basic HR - tracking probation dates, new starter dates, leavers, communication of policies.- Responsible for management of office petty cash/ bills- Facilitates company meetings and associated presentationsAssists the Leadership Team- Recruitment - supports hiring managers with job posting, applications and responses - Supports ad hoc LT requestsAbout youThe ideal candidate will have at least 1 years experience as a team assistant, EA or PA.Highly organised. Excellent time management and multi-tasking skills with the ability to deal with multiple requests - smart prioritisation is key.Excellent communication and interpersonal skills, with confidence to liaise at all levelA strong team player who uses initiative to get things doneStrong attention to detailA positive, friendly and calm demeanourLoves being in a Studio with the team (our Studio is in Central London)Is proactive and loves helping outOther requirementsAgency experience desirableTech savvy.
