Job Description

POSITION:Business Systems and Information ManagerDIVISION:Management Team BUSINESS UNIT:Resources REPORTS TO:Head of Finance RESPONSIBLE FOR:Business systems and information including the Synergy CRM provided by ServelecGRADE/PAYBand 3 - £33509 - £40665

  1. JOB SUMMARY:
a) The purpose of the Business Systems and Information Manager is to ensure that there is sufficient provision and effective governance, and maintenance of the organisations business systems with a particular emphasis on the Synergy database (previously known as Tribal) provided by Servelec.b) This will include information management which will drive business performance and support future planning through turning raw data into business intelligence. A key role to raise awareness in evidencing the impact of the work that we do.c) The role will also support the HR, finance and other systems used by Cognus and the provision of general Information, Communication and Technology (ICT) services to the Cognus team.d) This will include managing outsourced ICT support and lead projects related to changes in the organisations ICT provision.e) The position will sit on various management and project boards as the organisation develops and will help to manage the development Cognus’s strategic ICT requirements and oversee the efficient integration of new software and upgrades into corporate systems.f) The role will also be involved in the FOI, Data Protection and GDPR compliance and will act as a data expert regarding governance and data protection and advise the organisations staff on risks.g) The post holder will liaise with the Company’s external Data Protection Officer ("DPO") and assists with the monitoring of internal compliance, inform and advise on the Company’s data protection obligations, undertakes Data Protection Impact Assessments ("DPIAs") and act as a contact point for data subjects and the Information Commissioners Office.h) The post holder is a role model of the professional behaviours outlined in the Company Code of Conduct and Leadership Capability documents.i) The post reports directly to the Head of Finance & Corporate Services and currently has one direct report.
  1. PRINCIPAL ACCOUNTABILITIES:
The Business Systems and Information Manager has the following responsibilities:a) To manage the provision of management information systems (MIS), primarily the Servelec Synergy system and any other databases in accordance with business needs.b) To review company Document and Records Management Systems (including document retention, security, storage and back-up systems) and to implement standardised data and document handling systems throughout the company.c) To maintain and administer data/information sharing protocols and policies.d) To manage the provision and maintenance/support of corporate ICT including laptop, desktop, telephony, network access and other technical equipment through contract management of our third party suppliers.e) Is responsible for the maintenance, quality and functionality of electronic systems and processes and is the point of contact for internal / external audits as and when needed.f) To define and deliver ICT strategies, policies and procedures ensuring that the company data/information is processed and accessible in accordance with business requirements, legal and statutory requirements, and company data security policiesg) To develop and extend the use of the company Intranet for accessing common data and informationh) To ensure compliance with GDPR, Freedom of Information Act and other data protection laws; reviewing and updating the Company’s data protection policies; raising awareness by coaching, mentoring and delivery of tailor made training, and by undertaking routine audits.i) Write Data Protection Impact Assessments (DPIA) to ensure that the Company is compliant with the data protection obligations.j) Is a point of contact for all GDPR and Data Protection guidance for employees, and external partners alongside the external DPO.k) To champion the role of ICT and digital technologies in the provision and delivery of contracts and services across the companyl) Contribute to the updates of the Company Business Continuity Plan and Risk Log.m) Understands, adheres to and promotes the Company policies in all areas, including Safeguarding of Children, Data Protection, ICT, Health and Safety and, Equality and Diversity.n) Ensures on-going personal professional development and his/her team, including professional objective setting and appraisal.
