Job Description

My client is looking for a office executive assistant to join a team responsible for assisting in the day-to-day administration and management of the centre. Responsibilities include:Practice Patient interface

  • Work in the reception area as the first point of contact for patients. This will entail ensuring the centre is ready and open on time, and closed and secured on time, receiving and directing patients on arrival and managing the centres appointments procedure.
  • To assist in the efficient running of the clinic by assisting with diary management and booking appointments.
  • Managing and coordinating the diaries of clinic staff including Doctors, Audiologist
  • Prepare letters (topping/tailing only) for the doctors approval (those who have medical terminology experience) * we use a dictation service which types the letters
  • Taking the initiative on patient contact when required
  • Proactively communicate information between relevant patients, clinical staff, insurance companies, hospitals, and appropriate others.
  • Under direction from office manager to ensure that accurate revenue is captured by entering the charges onto daily sheet/ patient record.
  • To under direction according to LHABC policy and procedures collect payment for services from patients/third parties
  • Provide a professional and courteous point of access
  • Handing out questionnaires and testimonials and collating feedback
  • Ensure IT and Telephony systems operational and where required liaise with suppliers and stakeholders to proactively solve any issues that may arise. Full training will be provided
  • Coordinate the schedule for regular meetings and maintain accurate minutes, attend internal and external meetings
  • Support the care of patients by following set policies and procedures as laid out in the Practice operational policies
  • Manage the reception area and waiting room ensuring general maintenance is taken care of for example ensuring information in the office and waiting room is kept up to date or ordering, purchasing and maintenance of office equipment
  • Preparing the clinical rooms for consultations and restocking and tidying post consultations.
Hours of workIt is a requirement of this role that the post holder be able to report to work at 8.30am on at least 3 mornings, finish work at 6:00pm on certain evenings. This arrangement would be shared amongst your colleagues. We will consider flexibility with regardsto this if we have a candidate with the desired skill mix. The post will be considered on a full time or part time basis. The full time post is 37.5 Hours spread over 5 days, Monday - Friday.
