About the teamThe Office Manager, Facilities Coordinator, Office Assistants and Senior Office Assistant make up the Office team. Members are based in London, Bath, Cardiff and Leeds and deal with a variety of responsibilities in order to facilitate the smooth-running ofour UK offices.About the roleThe purpose of this role is to support the Office Manager with office and house-keeping duties which in turn, helps ensure that our Clients support staff and fee earners can work as effectively as possible. It is important therefore that the job holder iswell organised, a good communicator and responsive to requests.The Office Assistant is responsible for ensuring that the tasks listed below are completed in a timely manner, as well ensuring that any ad hoc requests from the Office Manager or other members of staff are dealt with.Responsibilities* Take messages from Reception* Collect post and small deliveries from Reception* Prepare meeting rooms ahead of visitor meetings* Serve refreshments to clients and visitors, as appropriate* Collect and distribute milk to kitchens, ensuring adequate supply* Distribute fruit to designated areas* Unpack, store and distribute deliveries* Empty mixed and confidential recycling bins* Arrange and supervise recycling collections* Perform general housekeeping duties* Collect and recharge used batteries* Take deliveries by hand to the Patent Office when required* Update company documents when required* Replace toners in printers and franking machine when required* Frank post and take it to the Post Office* Scan documents when required* Process courier requests* Perform stock inventories* Provide general assistanceSkills, experience & qualificationsYou will be comfortable working in a modern, fast-paced environment where you are given a level of autonomy to do your work.Successful candidates will also be able to demonstrate the following:* English and Maths GCSEs, at grade C or above (or equivalent)* Good keyboard skills, and proficiency using the MS Office suite including Word and Excel (we operate a paperless office)* Strong attention to detail, producing accurate work at all times* Good timekeeping with the ability to respond to urgent requests and to organise own workload, ensuring that deadlines are met* Strong written and verbal communication skills, ensuring that others are informed when tasks are completed* A pro-active and flexible approach, with willingness to help and take on new challenges* A positive, hard-working and conscientious attitude* A reliable and professional manner at all times* Excellent team working skills, operating in a cooperative and non-confrontational manner and with respect for others* Ability to accept feedback, and respond constructively* Engagement with the duties of the role and willingness to understand how this role supports the business as a wholeRewards & Benefits* Discretionary bonus* 25 days of holiday, excluding bank holidays* Private medical health care* Free eye tests* Employee Assistance Programme* Cycle to work scheme* Season ticket loan* Electric vehicle scheme* Group personal pension plan* Enhanced maternity, paternity, adoption, and shared parental leave* Flex Leave* Holiday LoyaltyOther informationThis role will be permanently working from the office therefore will enjoy reduced business hours, subject to no urgent work commitments.
