Job Description

VACANCY: IT Manager (Part Time)Leading international boutique law firm, ebl miller rosenfalck, is looking for an experienced IT Manager to join our team. We anticipate that this will be a part time role and the expectation is that it will involve 30 hours per week.You will be based in our new bespoke offices which are set across the 4th and 5th floor of 27 Greville Street in Farringdon.You will be leading, managing, and assisting with a variety of key tasks, including:1. Operational Information Technology responsibilities Supervising day to day operations of our networks and infrastructure. Testing, troubleshooting and adjusting systems to operate effectively. Responsible for making assessments and recommendations (with cost benefit analysis) for all IT matters to the Management Committee. Including on the development and maintenance of current IT systems, mapping, reporting and managing risk, monitoring performanceand effectiveness of current IT systems, data security and data storage. Creating new templates, utilising automation. Hardware and software: Responsible for all IT related matters, problems, queries, project management, replacement programmes as well as evaluating new equipment and evaluation, and renewal of existing products (such as VIPRE, Adobe Acrobat DC, Outlooksignature (Dania Software)). IT Systems: Product management, new product evaluation, setting out recommendations, and project management.Considering new technology providers and products, especially in AI, encryption, and digital dictation, to increase the client experience andto maximise team effectiveness. Key Service contact: Key contact for the management and liaison of all outsourced IT support, currently RiscIT. Internet provider (Primeconnect), and legal support and back-office support software. Assisting with management of our new website, including uploading new content.2. Manage Staff Knowledge Share and IT Training Responsible for all Knowledge Share activities and Staff Training ono Microsoft Office (including: Word, Excel, MS Teams/Zoom), Adobe (including the creation of digital bundles), and o all software used by the Firm, to maximise effectiveness of the firm, including the practice management system, and sending files.o Training on use of disclosure and digital completion/contract rooms would be beneficial.3. Cyber security essential and plus accreditation Member of the Cyber Security Committee. Assist in updating various registers (information asset register, social media pledge, period review, password security policy, email and personal data Encryption protocol, device destruction protocol, COLP security action, quick security question) cybersecurity policy business continuity plan, data mapping. Assisting with obtaining cyber essential and cyber plus accreditation to include liaising with our IT, Protos and staff.4. Manage our Telecoms and communication systems Responsible for all telecoms related matters such as telephone systems (including mobile phone networks and internet providers), hardware, printers and scanners - including negotiating prices and contracts with providers. Ensuring technology embedded to provide ability to work remotely Mobile management, making sure firm portal installed on all phones and setting up the same for the new users.Hardware - Arrange service contracts and maintaining files for support records. Data security, and business continuity.Project management of agreed programmes5. Managing our Practice Management System (Proclaim) Liaising and managing service relationship with Techedia and Proclaim and all projects relating to our practice management system. Be the designated contact between our IT support service and Proclaim/Techedia, and escalating matters where necessary. Be the designated contact for internal enquiries regarding Proclaim. Making amendments to the existing templates (User Level 2 Training) Attending external training where required.The key focus of the role is not just in ensuring the effective use of our existing IT network and infrastructure, but in ensuring compliance with all IT related regulatory requirements, maximizing the benefits of tech, and continuing stretching the firmto improve our systems, embrace new technology and to train our talented team. The successful candidate must be keen to continuously learn and stretch themselves, and to explain their ideas. The IT manager should have a bachelors degree in computer science, information science, or a related field. Previous experience working in the legal sector, and with case management systems would be advantageous. The candidate will need to have strong problem-solving and project management skills and be familiar with the most recent technology. The candidate must possess an excellent writing style, high level attention to detail and be confident working directly with the Partners and Senior management team, and external providers, and representing the firm (if required) at external events andconferences.
