Job Description

Temp Finance Coordinator Role

  • Our client a Global Engineering Company is looking for a Finance Coordinator, to provide assistance in the day to day financial administration of the Advisory Services Group.Finance Coordinator Duties:As Finance Coordinator, the main focus of the role will be:
  • Assist in Annual Operating Plan preparation: collating data, chasing for information, data input.
  • Assist Finance Officer with maintenance of positive cash flow for the office and on projects.
  • Assist with preparation and presentation of monthly financial reports or information.
  • Develop an awareness of Arup and legislative financial requirements.
  • Manage local supplier invoices, coding and seeking approval, providing job numbers for aggregated invoices, such as couriers, caterers, taxis. Liaising with Suppliers and Shared Service Team as appropriate. Chasing project managers for timely authorisation of project invoices.
  • Prepare transactional requests, such as draft fee invoices, time and expenses transfers, urgent payment requests.
  • General financial administrative housekeeping and maintenance of Overview project information, such as closing job numbers, changing Project Manager/Director names of data on in-house finance system
  • Monthly checking cross-charging reports and chasing for alternative job numbers where errors.
  • Monthly checking Non-billable Jobs for errors on time and expenses and transferring where appropriate.
  • To assist staff with queries on completing timesheets and expense claims, providing induction on the software.
  • To assist with timesheet chasing and proxy timesheet completion on ad hoc situations or as and when agreed for senior staff.
  • Assist Finance Officer with monthly check of General Ledger and transfer of costs as appropriate.
  • Assist with Group pipeline - maintaining necessary updates on CRM database and assisting with queries as well as providing foundation induction on the software for new Project Managers (prior to training).
  • To assist with queries on corporate credit card claims and submission of local teams claim for recurring expenses.
  • Review staff expense claims against evidence and assist with queries where applicable.
  • Finance Coordinator requirements and skills
  • At least two years’ experience in a similar role in a professional services environment.
  • Excellent knowledge of Microsoft packages, including Excel at intermediate/advanced level
  • Numeracy, attention to detail and ability to work to deadlines
