Job Description

Executive Associate, ARIASalary c. £45,000PermanentHQ Central London, 3 days a week in the office We are seeking an experienced Executive Associate to provide high-quality support to the ARIA Board and Executive Team on a day-to-day basis in a central co-ordinating role. The Executive Associate will also need to link up with various teams within the corporate services function (HR, Finance, Procurement etc.) to ensure effective collaboration.This is a pivotal role within the newly formed Advanced Research + Invention Agency, an R&D funding agency designed to make bold bets that complement and amplify the UKs world-class research ecosystem. Our mandate: create new capabilities thatcan benefit the UK and advance human progress.About ARIA Launched in January 2023 with a £800M budget, ARIA was formed to create transformative science and technology capabilities that will benefit the UK and help humanity thrive.ARIA is about to take bold and experimental steps that complement and amplify the UKs world-class research eco-system.Role SummaryYou will be responsible for providing the full range of executive personal assistant, administrative and secretarial support to senior Executive and Board members, ensuring an appropriate balance of support is provided to each.You will oversee the Executive Team and Board members day-to-day activities with a high-level of professionalism and confidentiality, including diary management, correspondence and email management, meeting arrangements and event management.The successful candidate may also be responsible for assisting with day-to-day office management, preparing papers and taking minutes for meetings.Please be aware that this role may require occasional travel across the UK, to support senior leaders at meetings and events.What Youll Do

  • Work with and support all teams across ARIA to build, co-ordinate and secure support and resources for projects and initiatives.
  • Deal with correspondence and queries, including preparation and authorisation of timesheets and expense reports where necessary.
  • Coordinate executive team meetings, develop papers and agendas and track resulting actions.
  • Manage team calendars, including scheduling internal and external meetings.
  • Implement and maintain office administrative procedures.
  • Order stationery, IT kits and furniture (where necessary).
  • Book transport and accommodation.
  • Receive and direct visitors.
  • Liaise with the British Library facilities management team.
Who You Are
  • Proven previous experience as an Executive Assistant / Associate in a fast-paced, dynamic environment and proven experience of managing correspondence and email accounts effectively.
  • Excellent time-management skills and highly organised. You can work on your own initiative to tight deadlines with the ability to prioritise your workload.
  • Great attention to detail and an adaptable attitude will be key to this role.
  • Excellent verbal and written communication skills, with the ability to communicate effectively at all levels, on behalf of the CEO, Chair and ARIA Board.
