Job Description

The Administrator will be expected to provide high quality administrative support.The role involves supporting the other roles with in the Multidisciplinary team, roster management and annual leave management in conjunction with performance reviews, The supply of Key performance data alongside data management whilst Working closely with the clinical leads for the unit to ensure that all recommendations for actions and continuous improvement for compliance to SOP’s procedures and company policy are positively managed.Main Duties and responsibilities:

  • To deal with enquires over the phone or face to face from the reception area
  • Oversee the administration and recording of all documentation in relation to patient admissions, stay and discharge in conjunction with the nursing and Therapy department, including archiving.
  • Report on key Performance indicators including CQC declarations where appropriate
  • Administer report on, and analyse Patient and Relatives Satisfaction Surveys in conjunction with the registered manager and the unit leads
  • Administer all meetings a minutes, and keep an up to date contacts database.
  • Administer the effective management of staff rotas in line with 24 hour nursing and care services, working the unit leads and the registered manager to ensure appropriate staffing levels and skills mix for occupancy and needs (dependency), taking into consideration training, sickness, annual leave and any other leave. Report staffing levels to the unit leads or the registered managers.
  • Commence reporting of sickness via administration as per company policy and local SOP
  • Administer the monthly payroll for on system for editing and final sign off.
  • Monitor all staff supervisions and appraisals and assist in the administration of these so that none are overdue according to policy.
  • Ensure that petty cash is up to date and correct
  • Create and hold a ordering system for administering and clinical products liaising with external contractors, weekly ordering and storage of clinical supplies
  • Support the maintenance of patient records in accordance with company policy and Care Quality Commission (CQC) requirements. Ensure all paper work for the unit is up to date and accessible, for new admissions ensure new paperwork has been completed for the nursing staff.
  • Monthly checking and restocking of first aid kits
  • Assist the unit leads and the registered manager to collate data and produce end of month reports, Key Performance Indicators, and (KPIs) and Commissioning for Quality and Innovation (CQUIN) payments in line with reporting bodies’ requirements.
