Job Description

We are looking for a PA /Team Administrator for an award-winning boutique firm of building design engineers who are passionate about creating technically excellent solutions for their clients’ projects. The role is a full-time maternity cover contract tostart ASAP until May 2024. The role will be based in the company’s newly refurbished central Bristol offices and will ideally be 100% office based but with the possibility of a little homeworking for the right candidate.The roleThe role reports into the Managing Director and will be responsible for supporting around 18 engineers, the position is a mix of team administration and PA work for a friendly and supportive team. Responsibilities will include:

  • Providing administrative support to the team by handling a variety of tasks and ensuring smooth operations
  • Preparing, formatting and distributing tenders, reports and presentations
  • Managing social media content and feeds
  • Answering and directing phone calls, taking messages and responding to enquiries
  • Performing clerical duties such as filing, scanning and data entry
  • Maintaining office supplies and equipment inventory
  • Managing calendars, scheduling appointments, booking training and travel and coordinating meetings
  • Coordinating and organising company events and team building activities
The person
  • Previous experience in a Team Administrator and/or PA role
  • Experience of formatting tenders or similar formal documents would be beneficial.
  • High level of proficiency in Microsoft packages particularly Word but also Excel and Office
  • Experience of using InDesign, Squarespace, Bluebeam Revuu, Prezi and Canva would be advantageous.
  • Excellent telephone manner and strong communication skills
  • Superb attention to detail and accuracy in data entry and record keeping.
  • Excellent organisational skills with the ability to prioritise tasks, meet deadlines and remain calm under pressure.
  • Able to adapt to changing priorities and work independently and as part of a team.
Salary£27,000 plus 25 days holiday pro rata, company pension, gym membership and cycle to work scheme.Hours37.5 per week - 9am - 5pm with ½ hour for lunch or 9am - 5.30pm with 1 hour for lunch (ideally 100% office based)
