Job Description

Defra is the UK government department responsible for safeguarding our natural environment, supporting our world-leading food and farming industry, and sustaining a thriving rural economy. We are recruiting for a Senior SMO Support Analyst to join our team. The SMO team is responsible for providing a central point of focus for driving efficiency and effectiveness in the delivery of IT services through sharing common resources and process expertise. The central improvement programme provides education, techniques, and tools driving and leading a team to provide support and central functions to meet the needs of Group Infrastructure and Operations (GIO).Job descriptionThe SMO has a pivotal role in ensuring GIO delivers its strategic vision of being "a trusted partner delivering service excellence underpinned by a flexible, service-orientated, value focused team which understands what good looks like". Crucial for this understanding and a service-oriented focus is an approach of continuous improvement driven by our customers’ experiences. The SMO also provide people, departmental performance and management information which will be underpinned by a secretariat function to formally document governance meetings and provide support to the wider GIO function. The Senior SMO Support Analysts are responsible for providing business support, mangement information co-ordination, a secretariat function on behalf of GIO as well as wider support for the SMO team as required. Please be aware may require travel to other DDTS offices as part of this role.Responsibilities• Manage the GIO timetable of meetings ensuring all key stakeholders/guests are fully engaged and prepared for agenda items, obtain action updates, outcomes and decisions from governance boards. Actively engage in governance meetings to ensure effective minutes and notes are produced and meetings kept on track and time. • Support the SMO Business Support and Management Information Managers with records management, reporting and management information for example to gather information for internal/external audits and for monthly reporting. • Develop and maintain templates for SMO related work that comes in via the front door process. • Support the Senior Risk, Compliance and Assurance Manager with effective risk log maintanance. • Together with the SMO team, deliver comms pieces (email updates, Show and Tells, newsletter etc.) across GIO and beyond and support internal event management and larger team and stakeholder meetings. • Engage with wider Digital, Data and Technology Services secretariat team(s) to ensure alignment with central processes and policy where required. • Contribute to continuous improvement initiatives designed to make the SMO a strategic high value function to the business and champion a culture of collaboration across GIO. • Line-management of SMO colleagues. SkillsTo be successful in this role it is anticipated you will have the following skills: • Proficient in using Microsoft Office tools, Excel, Word, Powerpoint • Stakeholder management skills, informed by political and business awareness including influencing, relationship and conflict resolution skills • Successful management of complex matrix in a multi-supplier environment • Determining goals and priorities effectively and stipulating the time, activities and resources required to achieve the set goals • Drawing sound and realistic conclusions from all the relevant information available • Performing effectively to deadlines, maintaining focus in challenging situations and adapting to find solutions that meet the needs of stakeholders. ExperienceWe are looking for candidates who can demonstrate the following experience. • End-to-end task management to support effective governance including meeting minuting • Co-ordinating and collating information for different audiences • Document and records management and understanding of document management sites (e.g. Sharepoint) • Understanding of Service Management best practice • An understanding of the range of IT services, service vision and strategy QualificationsWe work in an ITIL environment, if you do not have an ITIL qualification we will provide training***Please note that you are submitting your CV as an expression of interest via Reed.co.uk only, this not a true application.
