We are currently recruiting a Regional Administrator to be based at our depot in Bristol. Reporting to the Regional Logistics Manager, you will be responsible for administrative tasks relating to equipment at both on hire and post hire stages. You will maximiserecovery revenue through contract management during the life of the hire, customer chargeable billing and dispute resolution. These administrative tasks will include customer and internal interactions in a bid to secure revenue where applicable. You will proactivelyhandle communication with our customers by email and telephone. The role will also involve networking with internal departments across the business including sales, engineering, transport, and national call centres to gather information to assist with yourobjective.Based at our Bristol Depot in return you will receive: Competitive Salary, 25 days annual leave plus bank holidays, Life Assurance, Auto Enrolment Pension Scheme, Westfield Health Cash plan.Responsibilities include:Daybook ManagementStar calls and actions associated including any operational driven contract changesReceive, process and resolve customer invoice queries via telephone and emails efficientlySite moves fulfilment when requestedProcess of machine exchangesContact delivery and collection calls to support business efficiencies, identifying aborted journey management with live in day needsTelematics management to support with customer queries or access codesBilling customers for fuel that has been used once the machine has been returned to the depotInforming & billing customers for any damage caused to machines whilst on hire to them following post hire checks at the depotInforming & billing customers for any engineer call outs that are deemed customer errorDispute management and the raising of credit notes when applicable to customer invoicesProcess suspensions and free days when applicable to customers orders.Manage regional rehire returns and fuel billing for rehired equipmentManage the administrative outlook inbox resolving all customer queries in a timely mannerRecord any customer interactions including details of enquiries, complaints, agreements, or specific requestsEnsure that all administration tasks and processes are accurate and kept up to date such as the fuel tracker, invoice query tracker and, recovery trackerCourtesy follow up calls to customers after reported breakdowns have been attended, checking on customer experience and quality of work.Any other reasonable adhoc management request to support the regional structure including operational adminThe ideal candidate will have/be:Ensure a positive and polite customer experience, recognising our commitment to putting Customers firstMeet or exceed personal/regional recovery key performance metrics/ targetsCase management to be able to resolve invoice queries for customersDeal with all queries efficiently and politely to resolutionRemains calm & composed under pressure whilst communicating clearlyBuilds strong working relationships based on mutual trust and understandingWorks collaboratively with other departments across the company such as engineering, sales, transport, and national call centresDemonstrates a can-do attitude to difficult and challenging situationExperience in aftersales administration in particular invoice queries and billingStrong organisational skills to maintain excel spreadsheet dataAbility to negotiate with customers to balance both revenue for the business and customer retention.Proactive, high energy team player, ability to work closely with colleagues at all levelsStrong verbal and written communication skillsConfident with technology with working knowledge of MS Office applications including MS Word and ExcelAble to balance a customer-oriented and a results-driven approachPart of the Loxam Group, Nationwide Platforms is the UKs largest powered access specialist with a fleet of 10,500 machines operating from a network of 26 depots.
