Job Description

RECEPTIONIST£20,000 + BenefitsMonday to Friday 9am5pmCentral Bristol / 100% office basedThe Company:Our client is a progressive legal practice with a strong team spirit, who pride themselves on outstanding client care and legal services. Successful candidates will be keen to participate in this ethos.The Job:To process all incoming telephone calls with no undue delay and in a courteous and helpful manner. To receive and direct all visitors to the firm, especially clients, in a helpful, friendly and professional manner. To provide administrative support to the departmentas directed by a Director of the firm, with optimum efficiency.Key responsibilities dependent on level of role:The position requires a high degree of self-management and initiative and includes, but will not be limited to, the main responsibilities given below:

  • The effective processing of all incoming telephone calls to the office, including the logging of all calls and conveying of messages, checking the answer machine for messages and deliver to the appropriate person
  • Dealing with all visitors to the reception area in a professional and friendly manner in keeping with the firms standards of care, offer reshreshments
  • Prepare correspondence and documents through audio-typing and word processingno experience necessary as training will be given
  • Administer filing which will include daily filing and opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.
  • Open and close client files on SOS, including electronic ID verification via Thirdfort.
  • Prepare mail/email and enclosures for dispatch.
  • Distribute the post in the morning and sort out the files relating to the post received and photocopying
  • Prepare the conference room for meetings as necessary and ensure that it is cleared and tidy at the end of the meeting.
  • Ensure the reception area is kept tidy and leaflets/business cards are replenished and kept up to date.
  • Maintain and regulary update MS Outlook Contacts with full contact details for important contacts, e.g. other solicitors, agents, experts and clients.
  • Make efficient use of IT facilities at your disposal including the use of the internet to access court forms/precedents etc.
  • Ensure efficient management of the conveyancing departments file saving directory.
  • Administer the fax machine, photocopier and printer and report faults and liaise with maintenance as required.
  • Ensure that there are adequate supplies of stationery, cleaning equipment, towels and general supplies and that these are stored/fitted appropriately
The Person:Client care is paramount to our client so the qualities they look for will include a very personable candidate with good written and oral English skills. A positive attitude and someone who is capable of quickly building relationships with clients. Accuracy,reliability and honesty are also important.The Hours:Monday to Friday 9am5pmThe Benefits:25 days leave plus BHs and some other extras at Directors discretionUsually Christmas Eve and possibly the three days between Christmas and New Year (but if the latter is not agreed they only ask that staff work one shift from 9-1pm duringthe Christmas/New Year break. Pension scheme upon completion of probationary period.
