Job Description

Our client is a market leading professional services company providing services across insurance, pensions and investments mostly working with FTSE 100 end clients. They have just been going through a company wide HR Transformation programme and have implementedOracle HCM as the HRIS. As a result of this, they are looking for a People Services Analyst to join the team supporting the Oracle system.You will have HR System expertise, specifically Oracle Cloud Applications (Oracle Human Capital Management / Oracle HCM / Oracle Fusion HCM application modules).This exciting opportunity has arisen to share your expertise and act as their System Expert; supporting the team with analysis, troubleshooting, testing and implementing improvements and supporting the existing user base and business post hypercare.Their fun and growing People Team are based across Cheltenham, Bristol, Birmingham, and Amersham. The team provides a full HR service to the Firm encompassing Total Rewards & People Solutions, People Experience, Organisation Development & Talent, Resourcingand Talent Acquisition, and HR Operations. Whilst the role sits within the People Team, collaboration with the IT team is also expected.The role will be based out of Bristol, Cheltenham or Birmingham (preference in that order) in a Hybrid set up per week which will also require travel to the other offices not based at.Responsibilities:Key activities in supporting the HCM Oracle cloud-based system include:

  • First Line Support:
o Serve as the initial contact point for all HR System querieso Efficiently triage and respond to queries, providing accurate information and resolving issues in a timely manner or escalating either internally or externally to our service support company as required.o Ensure excellent customer experiences through clear and empathetic communication while addressing user concerns.
  • Troubleshooting and Issue Resolution:
o Investigate and troubleshoot technical problems and errors related to the HR System; collaborating with relevant teams to identify root causes of issues; use knowledge to understand the impact of system changes and implement effective solutions.
  • System changes, Testing and Functionality Support:
o Support analysis of requested business changes to ensure changes meet business requirements and add improvement and efficiencies to BAU activity and user experience.o Assist in making changes, ensuring that any updates are implemented correctly, using thorough testing, ensuring that key processes and workflows continue to function effectively and provide required improvements following the updates.o Support end-to-end testing of new functionalities and processes including planned patch releases, across all HCM modules and integrations.o Support with the preparation and implementation of mass system data uploads, working with SME’s and Business Areas to help upload bulk changes in an efficient manner.o Provide valuable feedback on system performance, user experience, and potential improvements.
  • Training and Documentation:
o Create, maintain and update training materials and process maps , ensuring they are accurate and up to date and aid in user understanding and adoption.o Conduct training sessions for colleagues and other departments on new functionalities and conduct refresher sessions as needed.o Ensure documentation and user guides are kept up to date following issue resolution, system fixes and planned changes and that relevant users are notified of updateso Assist in change management activities related to system updates.
  • Change Management and Project Support:
o Participate in change management initiatives related to the HR System, aiding in the successful adoption of new processes and functionalities.o Contribute to continuous improvement projects, providing insights and suggestions for enhancing system functionality and user experience.
  • Project Work
o Undertake projects to develop People Team provision and efficiency e.g., process improvement activities that relate to the HR Systemo Any other reasonable task as advised from time-to-time. Support, Implement and Maintain Information Security procedures and activities in accordance to Barnett Waddingham’s Information Security Policy.Experience/Qualifications
  • Familiarity and experience of Oracle Cloud Applications, especially Human Capital Management is essential: Oracle HCM / Oracle Fusion HR.
  • Experience working with a HR team would be an advantage.
  • Experience in a similar role providing 1st line support on issues relating to systems.
  • Analytical skills to diagnose and resolve system issues effectively.
  • Knowledge of HR processes, policies, and procedures to effectively support users in their tasks is desirable, but not essential.
  • Excellent verbal and written communication skills (proficiently in English) to interact with users, understand their issues, and provide clear solutions.
  • Proficient in the use of Microsoft Office suite of software.
  • GCSE Grade 5 in Maths and English or equivalent.
Key Deliverables (Objectives)
  • Identify root causes of problems and implement appropriate solutions.
  • Improve user knowledge and understanding through training and by creating and maintaining key system documentation and user guides.
  • Convey technical information in a non-technical manner for users with varying levels of technical expertise.
  • Suggest improvements in system usage and processes based on user feedback.
  • Mostly work independently but with sound judgment to prioritise and escalate matters to colleagues/manager where appropriate.
  • Ability to maintain a positive and helpful demeanour while assisting users
