Job Description

We are currently recruiting for a Legal Finance Manager to be based at our Bristol HQ.This role will beresponsible for the day-to-day management of the firm’s office finances and handling of client money. Including, but not limited to, oversight on all aspects of client money financial management and development of internal control policies and procedures to meet the requirements of our regulators and quality standards. Main Responsibilities

  • Manages the Legal Finance team and audits their work on a daily basis to ensure compliance.
  • Coaches, develops, and motivates the Legal Finance team, driving team performance. Conducts supervision meetings, annual appraisals, and performance grading.
  • Monitors systems and processes within Legal Finance to ensure they are efficient and effective. Proactively identifies opportunities for improvement. Drives a continuous improvement culture.
  • Management of the firm’s control account ledgers for office and client accounts. Ensures that they reconcile and are compliant.
  • Management of disbursements and associated client account balances. Ensures the correct treatment is applied.
  • Responsibility for the firm’s compliance with the Solicitors Accounts Rules. This includes the rules of England & Wales, Scotland, Northern Ireland, and Republic of Ireland.
  • The Firm’s point of contact and key collaborator with partners and senior managers to ensure compliance with SARs and Legal Finance VAT rules.
  • Maintains a breaches register and works closely with the Risk & Compliance team including the internal audit function and information security on client file management. Escalates any issues to the Partners, COLP, COFA, and Financial Controller.
  • Overall responsibility for TLT LLP and TLT (NI) LLP SAR external audits (SRA, Law Society of Scotland, Law Society of NI, and ROI Law Society) with our external auditors, and HMRC for VAT/NI.
  • Responsibility for and management of both internal and external audits of Legal Finance. Ensures they are conducted professionally and meet the expected outcome.
  • Regularly reviews and amends policies regarding matter management, VAT for legal finance, and other regulatory legal financial requirements.
  • Preparation of the firm’s daily cash flow for review by the Financial Controller.
  • Responsibility for all bank software including fraud awareness within the team and the ability to meet the SLAs set.
  • Maintains a strong working relationship with numerous banks for day-to-day office and client account management purposes.
  • Be a key member of the software upgrade project team, ensuring any updates to the finance software are fully tested and signed off.
  • Active in internal and external projects that have an impact on the Legal Finance function, this includes acquisitions and mergers, data conversions, and changes in legislation.

  • Thorough knowledge of legal accounting principles and procedures.
  • Qualified legal cashier. Minimum 5 years’ experience.
  • Detailed knowledge of E&W SAR (NI, Scotland, ROI an advantage)
  • Detailed knowledge of VAT for legal finance.
  • Excellent accounting software user and administration skills. Strong Excel user.
  • Management and supervision experience.
  • Strong written and verbal communication skills and ability to liaise with people at all levels within the Firm and externally.
  • Ability to challenge and replace established processes and procedures where necessary.
  • Fellow of the Institute of Legal accounts managers.
