Job Description

Education Services (ES), a division of Tribal, provides services which are designed to stimulate and accelerate educational improvement.The RoleThe Business Support Officer is part of the ES Operations Team, who ensure the smooth operation of ES contracts and projects. The post-holder supports the successful delivery of contracts, undertaking administrative tasks in line with the needs of specific contracts.This role supports Tribal’s Quality Mark programme, an internationally acknowledged accreditation supporting and recognising improving standards in the provision, practice and performance of English and mathematics, and providing evidence of high-quality education.Key Responsibilities

  • Liaise with customers, ensuring high levels of satisfaction at all times.
  • Manage Outlook mailboxes, including responding to and filing emails in relevant folders.
  • Save contract and deliverable related documents, including reports and supporting documents, in the relevant SharePoint site, using the appropriate version control.
  • Proof read and format reports and other documents, before distributing to stakeholders.
  • Process associate invoices - check to ensure the invoices are correct and all receipts are included, ensure the Accounts Payable Team have a copy and receive goods ready for payment in the finance system.
  • Support the preparation of accurate invoicing details to enable the Invoicing Team to raise accurate and timely monthly invoices for the customer.
  • Ensure associates and other suppliers submit invoices for work completed and expenses owed each month.
  • Raise purchase orders for associates and other suppliers.
  • Organise monthly team meetings, including setting up Skype and sharing the agenda and other documentation ahead of each meeting; taking notes and updating the action log.
  • Act as the initial point of contact for stakeholders and customers, replying to queries when required.
  • Update and issue contracts and project letters to associates and other suppliers, including updating the Associate Management Tracker.
